Job Description

The Senior Manager, Staff Experience (SMSE) will support an inclusive and equitable site staffing and engagement strategy to ensure that CYP has the capacity and capabilities to achieve its impact and operating goals.  The Senior Manager, Staff Experience will play a key role in staff talent acquisition and human resource administration, in addition to developing processes for recruiting, supporting and retaining a diverse, high-functioning staff and a thriving work environment. 

Reporting to the Senior People Director, the SMSE will contribute to the site’s organizational culture by facilitating and coordinating employee engagement programming for a staff of 50+.  The SMSE will also support implementation of the department’s strategic initiatives within the Site Advancement Plan.  The SMSE will collaborate across departments to ensure an environment that is committed to diversity, belonging, inclusivity and equity.

Job Description

Responsibilities

Talent Acquisition

  • Support cross-departmental collaboration on hiring process for designated positions, including drafting position announcements, reviewing applications, scheduling interviews, screening applicants, preparing interview materials, and communicating with applicants
  • Support training of staff on hiring policies, practices, and tools
  • Serve as a thought partner with Sr. People Director to update and refine site hiring practices and systems

Human Resource Administration

  • Support site use of Workday, CY’s HRIS system, including training other staff users
  • Support development of site onboarding and offboarding systems and tools
  • Partner with Sr. People Director and site hiring managers to design and implement new hires’ onboarding experience
  • Lead on administrative and background clearance processing for staff and site interns
  • Coordinate with national headquarters staff to maintain compliance with CY, federal, state, AmeriCorps and school district guidelines for hiring documentation and background clearances
  • Ensure that site and organizational policies and procedures are communicated to site staff
  • Partner with People & Operations team to disseminate relevant information to CYP staff
  • Coordinate with CY headquarters staff to communicate benefit-related information to site staff
  • Support Sr. People Director in leading site implementation of staff performance management system

Staff Engagement Support

  • Support ‘stay interviews’ to identify best practices for employee retention and engagement
  • Incorporate City Year culture and values into processes
  • Administer quarterly staff engagement ‘pulse-check’ surveys and utilize acquired data to inform staff programs
  • Plan events and activities to celebrate and appreciate staff members, including holiday gatherings, celebrations, and seasonal initiatives
  • Partner with Sr. People Director to coordinate and facilitate staff meetings and retreats, including management of logistics and event evaluations

Staff Development Support

  • Support staff learning & development and professional development strategy, including managing logistics for programmed events
  • Curate an ongoing collection of professional development resources and communicate opportunities to staff
  • Track attendance and evaluate effectiveness of professional development sessions and resources

Organizational Initiatives & Site Support

  • Engage in structured discussion and training on diversity, belonging, inclusion, and equity aimed at developing stronger cultural competency, both individually and collectively as a site
  • Assist with planning and implementation of site events throughout the year
  • Partner with City Year Philadelphia’s departments and staff to ensure that site-wide goals are met,  including, but not limited to, the AmeriCorps member applicant interview process, stakeholder engagement, event and service day participation, and cross-departmental committees
  •  Attend occasional overnight conferences, as well as additional engagement and training activities throughout the yea

Additional Qualifications

  • Bachelor’s Degree or equivalent experience
  • 3+ years of relevant experience, with proven ability to deliver strong, measurable results; management and staff development experience a plus
  • Awareness and experience engaging in conversation and developing practices grounded in diversity, belonging, inclusion, and equity
  • High emotional intelligence (“EQ”), with ability to perform and communicate with diverse audiences under varied circumstances
  • Experience utilizing HRIS (human resource information system) / human capital management platforms preferred; experience with Workday a plus
  • Previous talent acquisition experience preferred (developing, improving, and executing hiring processes, including screening, interviewing, evaluating, and facilitating hiring decision discussions)
  • Strong initiative and ability to work independently to achieve goals
  • Excellent track record of building out effective project plans and leading others to execution, even when not in a direct line of authority
  • Efficient time management and prioritization skills: ability to meet deadlines and execute on multiple projects
  • Ability to adapt and excel in diverse, youthful, high energy, entrepreneurial, and rapidly-changing environment
