Job Description

As a member of the HR & Operations team the Corps Operations Coordinator will help ensure that the CYLA corps and staff have all the materials, information and support they need to effectively do their jobs. Reporting to the HR & Operations Director, the Corps Operations Coordinator will provide top-notch customer service to the staff and corps and establish efficient operational systems in the areas of corps administration, uniform management, office operations, and HR to ensure site needs and goals are met. This position plays a critical role in ensuring effective use of resources, and a well-equipped staff which is central to CYLA’s strategic planning and increased impact in schools.

This position is ideal for someone interested in learning about running a successful high impact non-profit. The ideal candidate is a creative problem solver and strategic thinker with a passion for relationship development.

Responsibilities

Corps Member Administration and Support

  • Support corps member onboarding planning and execution, serving as the operations lead on the Corps Onboarding cross departmental committee
  • Ensure corps members are well informed about CYLA operational procedures and serve as the primary point of contact for related questions
  • Send weekly Operations Corner, and bi-weekly Senior Corps training and communication newsletters
  • Manage CYLA Help Desk by assigning cases and responding within 48 hrs to support requests.
  • Manage Metro transit pass account including placing orders, replacements, cancellations, and annual contract renewal
  • Assist with logistics and procuring space for corps events and gatherings
  • Visit schools to provide operational support to corps and staff

Uniform Management

  • Serve as the site’s uniform manager, working closely with Headquarters and our uniform vendor Aramark to ensure that staff and corps are equipped with all uniform parts
  • Manage the distribution and exchange process for the site, including name tags, and ID Badges
  • Manage all uniform inquiries and maintain a well-organized inventory of uniform parts

Site Operations

  • Manage after-hours calendar, corps and staff training calendars, and compliance to policy.
  • Support updating our City Year content management system, cyconnect, and site calendars with timely and relevant information.
  • Support training and development of AmeriCorps Member who design and manage school team content management websites
  • Coordinate front desk coverage during business hours, including fielding general calls
  • Support van management and IT equipment check out process to ensure equitable use across the site
  • Support site technology distribution and troubleshooting

Human Resources and Special Projects

  • Serve as a point of contact for AmeriCorps members around benefits, including payroll and health benefits.
  • Coordinate internship recruitment & hiring program
  • Support other HR & Operations department functions as needed.
  • Partner with CYLA departments and staff through stakeholder engagement, event and service day participation and cross-departmental committees as needed to ensure site-wide goals are met.

Qualifications:

  • 2+ years relevant experience in non-profit, operations, education or related fields
  • City Year/AmeriCorps experience preferred
  • Strong attention to detail with a focus on results and process
  • Exceptional organization and project management skills
  • Able to work effectively under pressure, handle competing priorities and respond to short deadlines with a team and independently
  • Holds self-accountable, sets high expectations for self and others with a positive can-do attitude
  • Proven interpersonal skills with an ability to build capacity in peers
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); experience with SharePoint a plus
  • Thrives in diverse, youthful, high energy, entrepreneurial environment
  • Experience with and commitment to community service, national service and/or the development of young people as leaders
