Job Description

MISSION: The Texas Education Agency (TEA) will improve outcomes for all public-school students in the state by providing leadership, guidance, and support to school systems.

POSITION OVERVIEW: In order to advance the mission of TEA of improving outcomes for all public school students, the Charter Division Executive Assistant performs complex administrative services and technical assistance work in support of the charter school program, the director, and division staff. The Executive Assistant serves as the primary point of contact for the division and oversees all administrative operations of the division. This position responds appropriately to written and verbal requests for information from a variety of internal and external stakeholders and reports directly to the executive director.

  • Coordinates division communications by managing multiple line phones, routing calls, taking messages, and greeting visitors;
  • Performs a variety of administrative duties including scheduling meetings/appointments; managing division travel; maintaining filing systems, and preparing a division calendar and employee resource handbook;
  • Edits and proofs all division documents including correspondence, State Board of Education (SBOE) minutes, and inter-agency memos;
  • Manages division budget. Duties include bi-monthly reconciliations, assisting with mid-year budget review and annual budget submissions, and ordering office materials/ supplies.
  • Manages TEA related databases including AskTED and CAPPS.





Education: Graduation from an accredited four-year college or university.

Experience: At least three (3) years of experience in an administrative role. Four years of experience is preferred. Experience working at a state agency is also preferred.

Substitutions: Each additional year of related experience above the required minimum may substitute for education on a year-for-year basis.


  • Knowledge of accepted business practices and procedures;
  • An exemplary track record providing administrative/technical assistance with the ability to work well under pressure;
  • Strong prioritization, time management and organizational skills with capability to manage multiple projects at once and meet deadlines;
  • Meticulous attention to detail;
  • Excellent professional written and communication skills with experience creating and proofing professional written work, (preferred);
  • Experience managing budgets,( preferred);
  • Highly skilled in the use of standard office equipment and applications such as Microsoft™ office suite, Go To Meeting, Zoom, or other virtual meeting application;
  • Experience creating, updating, and maintaining complex Excel spreadsheets (preferred); word and adobe documents;
  • Experience in maintaining databases and tracking systems;
  • Ability to analyze and solve work-related problems;
  • Familiarity with Texas Education Code and Texas Administrative Code, legislative and legal practices and procedures;
  • A desire to self-reflect, give/receive feedback and continuously improve;
  • A professional demeanor and positive attitude to foster effective working relationships with both internal and external constituents; and
  • A strong customer-service mindset with the ability to work both independently and collaboratively to achieve division and agency goals.
