Job Description Administrative Assistant Office/Clerical Responsibilities - Ensure enrollment packages are ready for open enrollment -Throughout the school year, have the new enrolling scholars approved by an admin, notify the teacher the day before to prepare for the scholar, walk the scholar to the classroom, and know the scholar's name. - Oversee dissemination of enrollment packages during parent interests meetings and for walk in parents. - Enter scholar data, shot records, previous school records, etc. - Request school records - Work with school personnel to maintain integrity and accuracy of scholar records, including maintenance and tracking of attendance and retention. - Perform the enrollment, transfer, discharge, and readmission process for scholars and the preparation of related records and files. - Resolves or directs routine internal and external inquiries with parents and employees. - Prepares scholar enrollment and attendance report. - Maintain scholar records, including assessment results, test scores, discipline citations, medical reports and records, and other documents. - Maintains scholar medication dispensation and injury reports. - Requisition, receive, and distributes/stores classroom, school office and work room materials and supplies; maintains ongoing inventory; processes packing slips. - Prepares and processes field trip requests. - Arranges for conferences and travel of administrators and staff; prepares related purchase order or payment requisitions; and follows up with receipts, invoices, and expense claims. - Provide enrollment counseling for incoming scholars and families - Maintains school crisis management plans, fire drill logs, and coordinates required drills with the Principal. - Communicates effectively with parents, scholars, and campus staff via email, telephone, and fax in person in a professional manner - Answers telephone to provide information, take detailed message, or transfer calls - Maintains calendar of school events - Tracks scholars who leave or withdraw from the school and ensures appropriate documentation of lever codes - Greet visitors to school, determines nature of business, and direct visitors to destination - Ensure appropriate enrollment forms are completed - Ensure timesheets and sign in sheets are completed daily - Talk with scholars encountering problems and resolve problems or direct scholars to teacher or Principal - Pull and submit scholar files from TREx - Maintain and update campus organizational charts, phone directory and other requested reports as needed. - Supervise scholar medication dispensation and injury reports. -Communicate effectively with Parents, scholars, and Campus Staff via email, telephone, and fax in person in a professional manner - Organize and manage the meal program to follow federal and state guidelines. -Overflow of any duties not covered. Examples given but not limited to are: cafeteria duty, dismissal duty, morning carline duty, covering classrooms...etc. -Maintain a clean, quiet, organized, inviting, positive working environment that fosters a professional learning community atmosphere. -Composure of office personnel should be positive, professional with a sense of detail and urgency, reserved, calm, quick to listen, inviting, and over-the-top friendly. -Costumer service is priority and should be conducted respectfully while utilizing de-escalation strategies when necessary. -Maintain a working knowledge of school procedures and policies. -Return phone calls in a timely manner (within the school day unless the call occurs at the end of the day, then return the call the following morning) -Manages the Upto Calendar of events. Staff Leadership Responsibilities - Recognizes problems and impediments and reports them promptly with options for solutions to the site director; promotes and assists with constructive resolutions. - Provide a safe and clean environment for learning - Adheres to and enforces board policy, school guidelines, and administrative directives - Works with and assists faculty in the development of effective classroom discipline and organization. - Read and comply with the Procedures Manual, Employee Handbook, Scholar Handbook and Scholar Code of Conduct - Ensuring the campus maintains > 97% daily attendance and timeliness - Perform other duties as assigned by CEO, CAO, and Charter School Principal. - Establishes and maintains professional and cooperative working relationships with all stakeholders: parents, scholars, staff, neighbors, and partners. -Promotes and maintains a positive and effective school climate by ensuring that all interactions with staff, scholars, parents, and the public at large are prompt, efficient, helpful and friendly.
