Grant Coordinator/Administrative Assistant Oregon Charter Academy 12-month full-time, Classified Home-Based, Oregon School Summary Oregon Charter Academy (ORCA) is a virtual public school serving students in grades K-12 throughout the state. Teachers at ORCA are student-focused, adapting to meet students' educational needs through personalized learning using our high-quality curriculum and the teaching of 21st Century skills.

ORCA is authorized by the Santiam Canyon School District and is governed by its own independent charter school board. The school has been in operation since 2005 and is accredited through Cognia, formerly AdvancED. Position Responsibilities Working primarily from your home in Oregon, the ASCEND CTE Grant Coordinator and Administrative Assistant will virtually support ASCEND staff and administrators with administrative tasks and will manage and write grants for the school and the program. While not meant to be an inclusive list, the ASCEND Grant Coordinator and Administrative Assistant will be responsible for the successful completion of the following tasks: Grant Coordination Seek out and research grants appropriate for ORCA's CTE program and students Identify and develop strategies to optimize the grants administration process Write copy and develop application materials (such as charts, budgets, etc.) for grants in cooperation with Administrator and other stakeholders Develop and collect documents required for grant applications Prepare financial and budget plans (in coordination with Administrator) in accordance with grant requirements Oversee reporting, organization, and other administrative functions to ensure successful execution of the grant process Provide detailed reports to funders in compliance with grant requirements Maintain records of all purchases, approval, payments, and receipts Project management: Keep the relevant staff informed about upcoming deadlines and deliverables Ensure all grant materials are on track for application deadlines Submit materials on time and follow up with funding representatives to see if the award is granted Administrative Support Provide high-level support to ASCEND and High School Success team staff and Administrators including but not limited to the following tasks: Preparing presentations, budgets, meeting minutes, calendar management, travel and room arrangements, correspondence to staff, parents, students, and community members Research, create, input, format, organize, and edit relevant data as requested and prepare in a usable format via Google Suite Maintain the High School Success and personal Google Drive Pull reports and organize data for input regarding regulation withdrawals Schedule and prepare materials for all-staff and 1:1 meetings with Administrator Assist staff with special projects and misc. tasks as requested Plan and schedule events as related to Student Engagement and High School Success Respond to emails, phone calls, and hangouts/chats messages promptly Design, create and maintain marketing materials and documents for the ASCEND program Create and distribute ASCEND Newsletter Develop training materials, slides, websites, etc. to advertise our program to staff and students at ORCA

Position Requirements Requirements HS Diploma Strong technology, organization and time management skills Excellent communication skills, both oral and written High degree of flexibility and dependability Willingness to travel on occasion for HSS application events, required All-Staff meetings, and other meetings or events as required. Ability to work remotely Ability to work occasional evening hours, as needed Preferred Background Bachelor Degree Executive Assistant experience (i.e. calendar/email management) Educational grant writing experience Experience with budgets and reconciliation Skilled with Google Suite and Adobe PDF
