OPPORTUNITY
Under the direct supervision of the School Office Manager, this position will provide administrative support to the school's front office during the school year (~10-months). Green Dot California classified personnel have union representation as members of the Ánimo Classified Employees Association (ACEA), an affiliate of the California Teachers Association (CTA) and the National Education Association (NEA). This is a grant-funded position, ending on June 30, 2024.
ESSENTIAL RESPONSIBILITIES
Facilities
Conduct regular campus walkthroughs and monthly safety inspections
Submit work orders to correct facility issues
Coordinate vendor work and campus access
Assist in troubleshooting facility related issues (e.g., work orders, custodial, etc.)
School Nutrition Program
Serve as a liaison between school and food vendors and troubleshoot food service issues,
Monitor day-to-day activities and ensure accurate and timely data entry using the school's meal program software
Plan and execute the lunch application/household income form collection process to meet collection percentage goals and timelines
Team Engagement Program
Participate in Green Dot and individual professional development programs
Prepare for and engage in team and individual meetings with manager
Purchasing
Maintain accurate book and school supply inventories by coordinating and overseeing annual physical inventories and data management in Green Dot's inventory software
Work with School Operations Manager to purchase materials, books, and equipment
Oversee organization of the school's book room. Duties may include ensuring that all books are properly labeled and implementing an efficient and accurate digital check in/check out process
Student Attendance, Health, Safety and Security
Coordinate daily and weekly SART process in collaboration with school administration
Coordinate health and safety training and drills
Support enforcement of campus safety processes
Operational & Strategic Leadership/Other
Support ongoing improvement by actively evaluating processes and suggesting improvements
Leverage technology to drive improvements and efficiencies
Other duties may include, but are not limited to:
Student Recruitment, Lottery and Enrollment
Support School Operations Manager, as needed
Event Planning and Coordination
Support School Operations Manager, as needed
State and Federal Compliance
Support school staff on compliance related matters related to funding, school nutrition program, safety, student records, and staff records. This may entail supporting staff on document retention practices and scheduling inspections, drills and audits
Front Office Operations
Provide excellent customer service to parents, staff, students and visitors to the front office and strive to effectively solve any problems or concerns that may arise
Support teachers with classroom technology troubleshooting
Oversee copier operations and contact copier technician for copy breakdown issues
Assist in managing student traffic flow in the main office (e.g., discipline, medical, emergency situations, etc.)
Additional duties as assigned
QUALIFICATIONS
As an ideal candidate, you:
have a bachelor's degree or commensurate professional experience
have a minimum of 1 year in an administrative support capacity in an office environment is (preferred); prior experience within a school setting is desired
have Spanish proficiency (valued)
have excellent interpersonal and communication skills (written and oral)
are proficient in Google Suite - Sheets, Docs, Forms, Slides
are proficient in MS Word, PowerPoint and Outlook; comfortable learning new computer programs
are able to manage multiple priorities, perform well under pressure, and complete tasks/ projects effectively and on-time
are able to maintain a positive, "can-do" attitude at all times, especially when faced with adversity
have a high level of personal responsibility and drive toward ambitious goals
have a commitment to customer service
are able to exercise discretion in the dissemination of information
are dependable, humble, have a sense of humor and a rock-solid commitment to Green Dot's mission and the communities we serve
will need to be fully vaccinated against COVID-19 (submission of proof of vaccination will be required)
will need to pass a TB test and background check at time of offer

COMPENSATION
