ABOUT THE POSITION
Cesar Chavez Public Charter School seeks a mission-aligned, experienced, and team-oriented professional to join its team as an Operations Manager. This role includes critical planning and support for school operations in facilities management, information technology, school meals, safety and wellness, and the front office.  Although the Operations Manager works closely with their supervisor, this position is expected to exercise a high degree of initiative and take on responsibility with outstanding attention to detail and execution in all aspects of the role. An ideal candidate will be comfortable working simultaneously on multiple critical operations projects and initiatives and have a background in school operations. This position reports to the Chief Operating Officer.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Facilities Management

  • Oversee school facilities and the custodian to ensure Chavez has the appropriate resources and plans in place to support impeccable building operations, maintenance, and appearance; a school environment that promotes and protects the safety, health, and wellness of our entire school community; and efficient and creative space planning and utilization.
  • Provide strategic planning and thinking for long-term needs, use, and maintenance of the school building and property.
  • Oversee building safety needs and requirements and ensure compliance with OSSE and DCPCSB requirements; maintain safety binders that include all relevant and compliance-required information.
  • Ensure appropriate signage related to safety and operations is posted and maintained throughout the building.

Information Technology

  • Ensure the ongoing maintenance and updating of information systems and infrastructure, including hardware, software and applications.
  • Serve as Chavez’s liaison with contracted Information Technology firm on the organization's needs; ensure IT firm is clear on and executes its responsibilities in a high quality and timely manner.
  • Manage the building communication systems (i.e telephone, VOIP, bell, etc.)
  • Provide in-person support to staff requiring basic troubleshooting or a temporary device when IT firm is not available. 
  • Coordinate with educational and student behavioral platforms, including Clever, DeansList, and other Ed Platforms, to set up beginning-of-year syncing, ensuring students and staff access the appropriate portals.
  • Assess utilization of current technology platforms; identify any duplicative efforts and draft recommendations for streamlining and maximizing platform use.

Lunch Program

  • Supervise the School Lunch Coordinator to ensure nutritious meals and snacks are served timely and safely.
  • Manage school food services contracts, ensuring compliance with all federal and state regulations.
  • Manage all NSLP and OSSE administrative requirements, including applications, reimbursements, and compliance documents.
  • Work closely with academic teams to understand changes in daily schedule to maximize reimbursement for meals. 

Front Office

  • Manage the Office Manager; ensure that Chavez maintains and executes on a vision of excellence to promote a welcoming, service-oriented school environment experience for all students, families, staff, and guests.
  • Ensure strong policies and procedures are in place and adhered to regarding Chavez's standard operating procedures for the front office and common spaces throughout the building.

School Safety and Wellness

  • Oversee the School Nurse and student health management.
  • Serve as the liaison to the DC Department of Health regarding the School Nurse Program and DC school health requirements.
  • Oversee immunization policies and procedures and work with families to ensure all student immunization requirements are met.

Curriculum and Uniform Management

  • Conduct a periodic and thorough inventory of curricular materials to determine additional curricular needs; place and track corresponding orders. 
  • Manage the online uniform store, uniform ordering process, and uniform fulfillment.  
  • Other duties as assigned.

QUALIFICATIONS, KNOWLEDGE AND SKILLS REQUIRED

  • Three to five years working in school operations.
  • At least two years of management experience.
  • Strong written and verbal communication skills.
  • High level of attention to detail.
  • Demonstrated abilities and knowledge of multiple operations functions and principals, including, but not limited to, school systems, facilities management, information technology, and front office administration
  • Excellent organizational skills; ability to work under pressure and to meet established timelines and deadlines; strong follow-through and ability to efficiently execute complex tasks.
  • Demonstrated a proactive approach to problems and issue resolution promptly.
  • Strategic thinking and planning.
  • Ability to work collaboratively with diverse populations, teachers, parents, board members, and community members, including demonstrated expertise in building and maintaining effective working relationships.
  • A Bachelor’s degree and a minimum of 3 years of school operations and management experience or the appropriate combination of education and experience.
  • Demonstrated ability to manage to organize, and prioritize a team’s work with colleagues and meet deadlines within a fast-paced environment with competing demands.
  • Citizenship, residency of work VISA in United States required.

ADA SPECIFICATIONS: This position will be based at Chavez in the Parkside neighborhood. While performing the duties of this job, the employee is regularly required to move about the building. In addition, travel to other sites could be required, frequency to depend on the needs of the school and position. The employee is regularly required to speak audibly, see, listen actively, and use hands to handle objects while performing the duties of this job. This position requires the ability to use standard office equipment such as computers, phones, and filing cabinets.
