Job Description

Primary Purpose: Under the direction of the Practical Nursing Director provides coordinating and administrative support services for the Practical Nursing Academy. Major Responsibilities: 1. Perform all duties with HIPAA & FERPA regulations. 2. Evaluate student's medical records and prepare reports. 3. Assist with recruitment, consenting, screening, and enrollment of students. 4. Communicate concerns re: the medical results of students to the Academy Director. 5. Complete onboarding requirements for all clinical sites i.e. CCP and specific paperwork to MCI Corrections, Harrington Hospital and Fairlawn Rehabilitation Hospital. 6. Coordinates with Academy Director on faculty and student placement. 7. Assist and preparation of annual budget. 8. Assist in marketing materials for students. 9. Serves on admissions committee. 10. Coordinates with outside vendors. Organizes/keeps inventories for supplies - Skills Lab & SIM lab. 11. Attend faculty meetings and trainings. 12. Answer all incoming calls in a timely and professional manner- screen and refers them to the proper person. Greets students kindly and promptly. 13. Inputs daily classroom and clinical attendance. Maintains classroom and clinical attendance binders. Monitors students sick/ late/ emergency calls. 14. Types schedules, week by weeks, and other internal LPN paper work. Files and types memos/letters. Facilitates outgoing mails via USPS. 15. Coordinates and schedules rooms with appropriate Department for info and testing sessions including TEAS. 16. Coordinates and orders office supplies for faculty and PN Program including SIM lab. 17. Prepares and files 1098-T forms. Sorts and distributes mail daily including paychecks. 18. Prioritizes and photocopies for faculty and administrators. Types meeting minutes and set up room for faculty meetings. Distributes minutes as requested. 19. Assists in the planning and implementation of PN Pinning/Graduation ceremonies. 20. Assists with orientation and new starts as requested. 21. Ensures proper storage or destruction of students' paperwork Referenced MA BORN record maintenance & retirement policy. 22. Maintains student's financial records including collecting and processing student payments and refunds with the business office. Maintain and record all cash receipts. Complete tax documents for students yearly. Maintain all student files including alumni. 23. Organize entrance exams and correspondence regarding registration and results. 24. Arrange interviews and prepare paperwork involved with them. 25. Update literature and / or website as needed. Update and monitor career magazines subscriptions. 26. Perform other duties as directed by Academy Director. Other duties may be assigned. Organizational Relationships: Reports to the Program Director Qualifications: 1. Bachelor's Degree (essential) Nursing background (preferred) 2. Current CPR certification (essential) 3. 2 years' experience at a health care facility in a Clinical Coordinator role (essential) 4. Working knowledge of medical terminology, HIPAA & FERPA regulations, ICD and CPT coding (highly advantageous) 5. Innovative thinker with strong conceptual and problem-solving skills 6. Meticulous attention to detail with the ability to multi-task 7. Strong organizational, administrative, and planning skills 8. Ability to work under pressure and react effectively to emergency situations 9. Ability to work independently and as part of a team 10. Excellent documentation, communication, and IT skills Terms of Employment: Full Year Position- 10:00-6:00pm (Clinical days) Flex
