Job Description Administrative Support Assistant III-Payroll Specialist Child NutritionFUNCTIONAL PURPOSE The purpose of this position is to perform administrative Payroll and Human Resources functions for the federally funded USDA Child Nutrition Program including keying staff payroll, attendance, FMLA, OSHA reporting, workers compensation, recordkeeping, and creating reports.
DUTIES AND RESPONSIBILITIES - Review and key payroll records for all department employees
- Maintain and update as needed, actions and classifications of employees.
- Maintain records of employee leaves, accidents, resignations, and new hires.
- Prepare invoices for all special programs labor.
- Creates and prepares various weekly and monthly reports as needed to support the business.
- Manage access and data for multiple district systems.
- Other duties as assigned/required.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES: - Ability to process work, forms, and materials involving numbers with a high degree of accuracy.
- Ability to maintain a high level of confidentiality when working with employee pay records and discussing medical concerns.
- Ability to field multiple incoming calls daily from employees to assist with timesheet questions, FMLA requests, accident reporting, and return messages in a timely manner.
- Ability to maintain and improve organizational processes and files related to workers compensation, FMLA records, timesheets, payroll records, correspondence, etc.
- Ability to plan and organize work to meet established deadlines and professional staff requirements.
- Ability to train others on basic computer functions as pertaining to program recordkeeping requirements, payroll processes, employee benefits, and workers' compensation processes.
- Ability to interpret and monitor a variety of federal, state, and local guidelines for school food regulations.
- Ability to comprehend and follow written and oral instructions and guidelines.
- Ability to communicate effectively both in oral and written forms.
- Ability to develop and maintain working relationships with School Administration, school staff members, Child Nutrition employees, parents, and students.
- Conflict resolution skills, specifically the ability to provide courteous service to customers under challenging conditions.
- Considerable knowledge of office systems and processes, including but not limited to proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Google docs.
REQUIRED EDUCATION AND EXPERIENCE - Minimum: High School Diploma/GED PLUS two years' work experience in an administrative office setting, utilizing office systems, providing professional customer service, and responsible for data entry; or an equivalent combination of education and experience.
- Desirable: Associates Degree in Business Administration, Accounting or related field PLUS one-year administrative support work experience that includes knowledge of AS400, Application Tracking System (ATS), EPASS.
