Job Description
Perform receptionist duties, including answering switchboard calls, greeting district staff and visitors, and directing them to the appropriate location, providing general information, and assisting with other various clerical support activities. Essential Functions / Key Responsibilities
1. Reporting to management and performing administrative duties.
2. Welcome and assist visitors in a friendly and professional manner with basic inquiries from the public.
3. Provide general information about the district via telephone or walk-ins, including campus/district
directions, hours of operation of departments and campuses, and district/community events to employees, stakeholders, and the public.
4. Answer telephone calls, as well as screen and forward calls; schedule and confirm appointments, meetings, and events.
5. Keep the reception area tidy and observe professional etiquette.
6. Maintain current telephone extension, various voice messages associated with holidays and district
closings.
7. Maintain general office documents; filing, copying, and scanning. Monitor office supplies and ordering
replacements and other administrative duties with minimal supervision.
8. Perform other related duties as assigned within the appropriate skill and experience capabilities expectedfor this position.
Minimum Requirements • High school diploma or GED equivalent or higher recognized by the Texas Education Agency or a regional
accrediting agency.
• 2+ years of experience in a similar role to included customer service, telephone etiquette, multi-line switchboard system, efficient and effective filing.
• Exceptional ability to create a welcoming environment.
• Experience in answering and screening calls, as well as scheduling appointments.
• Ability to observe business etiquette and maintain a professional appearance.
• Experience working with word processing, spreadsheets, and emails, including Microsoft Word, Excel, and Outlook Express.
• Working knowledge of printers, copiers, scanners, and fax machines.
• Excellent interpersonal and communication skills.
• Candidate must have satisfactory outcome of fingerprinting background check. Non-refundable fee (approximately $50.00) paid by the employee.
Knowledge, Skills & Abilities • Knowledge of department and district policies, procedures, and practices with the ability to answer workrelated questions; and/or interpret and apply these guidelines correctly in various situations.
• Knowledge of daily and upcoming events in the district.
• Demonstrated ability to communicate effectively in both written and oral form with a variety of people
including employees, stakeholders, and the public.
• Proper telephone etiquette.
• Knowledge of general office procedures.
• Ability to multi-task with frequent interruptions.
• Strong customer service skills.
• Possess interpersonal, communication and problem-solving skills; must have high level of integrity
regarding department records and confidentiality.
• Attention to detail and accuracy regarding time and organizational management and the ability to handle
stress in a fast-paced working environment.
• Ability to work as a member of a team to help department staff.
Working Conditions Work Environment: • Computer, computer software programs and peripherals, teacher resource materials and equipment, copier, fax, and other equipment applicable to position.
• Frequent exposure to: temperature extremes (hot and cold), humidity extremes, noise. Occasional
exposure to: biological hazards (communicable diseases, bacteria, insects, mold, fungi, etc. Physical Demands/Requirements: • Maintain emotional control under stress; work with frequent interruptions/deadlines; frequent sitting, standing, walking, climbing, balancing, pulling and pushing; reaching, repetitive hand motions, hearing, speaking clearly, visual acuity and prolonged data input; occasional lift/carry light, moderate 15-44 pounds.
