Secretary to Executive Director of Special Education

Administration Building

Monday-Friday

8 hours per day

12 Month Schedule

2020-2021 Salary

$15.44 per hour, per RSPA Master Agreement for Classification II

MINIMUM QUALIFICATIONS:
High School Diploma with excellent command of the English language General office experience Proficient with MS-Office, Outlook, & Google Strong organizational skills and ability to handle a multitude of responsibilities with minimal supervision and frequent interruptions. Ability to maintain an exceptional high degree of confidentiality and sensitivity Strong communication skills - written and verbal Strong interpersonal and human relation skills Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
PREFERRED QUALIFICATIONS:
Experience with Synergy or other Student Information System and Special Education Management SoftwareAssociates Degree3 Years of ExperienceKnowledge of Michigan Administrative Rules for Special Education (MARSE) and the Individuals with Disabilities Education Act (IDEA)
REPORTS TO: Executive Director of Special Education

JOB GOAL: To serve as secretary to the Executive Director of Special Education, to function as liaison between parents and the professional support staff in the District, and to maintain communications with other school districts servicing our students. The Secretary will be responsible for handling a wide range of tasks and will be able to work independently with little or no supervision. The Secretary will interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality. Expert level written and verbal communication skills, strong decision making ability and attention to detail are important in this position.

PERFORMANCE RESPONSIBILITIES: The performance responsibilities listed below represent an overview of the responsibilities for this position.

Responsibilities include:
Be responsible for calendar management, requiring interaction with both internal and external stakeholders to coordinate a variety of meetingsAnswer phones and direct all incoming calls to appropriate party promptly and efficientlyCommunicate and handle incoming and outgoing electronic communications on behalf of the Executive DirectorAssist Executive Director with preparation of presentation materialsReview and summarize miscellaneous reports and documentsGenerate reports in Synergy Special Education and present information to Executive DirectorAssist with staffing projections, update Special Education professional and certified staff roster, and maintain confidential personnel filesPrioritize and manage multiple projects simultaneously, and follow through on issues in a timely mannerArrange travel schedule and reservations as needed, including expense reimbursementWork closely with the Executive Director to distribute communications to staff, students and parents.Maintain accurate list of out of district students and ensure information is appropriately documented in Synergy and filed in the students special education records.Performs all duties with awareness of applicable federal and state special education laws.Orders and maintains office materials and equipment.Makes room reservations and arrangements for meetings and in-services.Serves as a positive public relations advocate for the District by interacting appropriately with visitors and staff; answering questions; relaying messages; and following through with problem resolution.Performs other duties as assigned by Executive Director and Special Education Administrators.
TERMS OF EMPLOYMENT:
12 month position8 hours per daySalary and benefits as per master agreement for Classification II.
WORKING CONDITIONS:
An employee working in this assignment will be required to sit for long periods of time and work on a desktop computer.Data entry and record search is a large part of the duties of this position and repetitive hand motion will be required.
REQUIRED POSITION TESTS:

Microsoft Office Current District Version: Intermediate Word and Excel, and PowerPoint; and Office Basic Outlook; OPAC Clerical Skills Assessments in: Bank Deposits/Petty Cash; Customer Service Phone Skills; Numeric/Alpha/Record Locator Tests, Sentence Clarity, and Spelling. Encounter Software: Interpersonal/Teamwork Assessment
