Job Description

Reporting to the Learning and Development Director, the Senior Learning and Analytics Manager is responsible for planning and implementing the year-long coaching and observation strategy to prepare City Year San Antonio’s 90 AmeriCorps members to deliver high-quality and high-impact service to 6,500 students across eight (8) partner schools in the San Antonio Independent School District (SAISD). Serving as the site evaluation point for San Antonio, the Senior Learning and Analytics Manager will also be responsible for the data coordination, collection, and analysis related to the Whole School, Whole Child (WSWC) program and overseeing the site’s Student Progress Monitoring to help inform training and support for AmeriCorps members, Impact Managers, and other staff. Under the direction of the Learning & Development Director, the Senior Learning and Analytics Manager will work closely with program staff leadership to inform the site’s overall strategy for learning and development through thoughtful and timely data analysis and progress monitoring. The person in this role must be physically located in San Antonio.

Impact Coaching and Observation

  • Provide one-on-one, team-level, and site-level academic intervention training and support to AmeriCorps members
  • Ensure AmeriCorps members understand assessment scores and incorporate that information into their lesson planning to deliver high-quality tutoring for their students to help improve grades, complete homework, and organize for success in school
  • Assist Impact Team by helping to diagnose service implementation issues and recommend solutions by observing service and reviewing data.
  • Support Impact Managers (school-based managers) in designing and executing performance results meetings with teachers and school leadership by serving as subject matter or technical expert.
  • Coach Impact Managers (school-based managers) to support AmeriCorps members through observations and coaching sessions
    • In conjunction with Impact Managers, conduct co-observations to demonstrate how to effectively observe and deliver feedback to AmeriCorps members to achieve impact
    • Bi-monthly check-ins with program staff to review progress made and recommend additional areas to work on

Evaluating and Communicating Program Outcomes

  • Lead collection and analysis of student-level data to inform and improve in-school service.
  • Create reports that reflect student outcomes that can be targeted to varied audiences including funders, educators, and others
  • Provide leadership around data analysis and secure timely collection of teacher and principal partner surveys by supporting the site in evaluating service and measuring corps member impact
  • Ensure timely reports and other deliverables to funders, grants, and other stakeholders
  • Provide leadership within City Year San Antonio around data and evaluation best practices, including but not limited to:
    • Demonstrate and lead data informed discussions and decision making
    • Provide regular communication with the site around important data and evaluation topics, including weekly newsletters, and team meetings
    • Innovate new measures and analyses of organizational programs and operations to improve outcomes and increase understanding of current problems and challenges
    • Innovate ways to effectively communicate City Year’s impact to a diverse group of stakeholders (i.e. AmeriCorps members, City Year San Antonio staff, funders, school and district partners, etc.)
    • Provide ongoing coaching on program outputs, data entry, and data usage
    • Manage and support program staff through all aspects of online survey distribution, administration, collection, and quantitative as well as qualitative analysis
    • Refine system/s and policies to improve data collection, integrity, and dissemination of information, particularly with the Development department
  • In partnership with program staff, input, monitor and analyze student-level progress and performance data (e.g., academic assessment scores, course grades, behavior incidents, daily attendance).
    • Identify and facilitate necessary trainings for staff and AmeriCorps members on City Year’s data collection systems, such as cyschoolhouse (Salesforce), Power BI, and Microsoft Excel
    • Meet with stakeholders within City Year San Antonio to increase understanding of outcomes and data through site, team and individual data reviews, presentations to staff and AmeriCorps members, and trainings for staff and AmeriCorps members
    • Create and produce analytic tools, including monthly reports for each team, that support effective service implementation and evaluate programs and performance
    • Provide individualized tools and processes as needed to AmeriCorps Members, program staff, and others that strengthen service implementation and effectively monitor progress
    • Analyze and report on trends and longer-term outcomes, including student test scores, attendance, and  behavior data to support program operations and reporting

Data and Systems Management

  • Monitor data access and maintain cyschoolhouse (Salesforce), City Year’s internal data management system, ensuring 100% of Fiscal Year ‘19/20 evaluation files are complete and accurate for reporting purposes:
    • Collect quarter, semester, and annual Attendance, Behavior, and Coursework (ABC) measurement data including Course Grades in Math, ELA, and Reading, Average Daily Attendance (ADA), Behavioral Occurrences;
    • Coordinate with Headquarters Evaluation (City Year’s National Office) staff to ensure site meets reporting deadlines;
    • Communicate with the program team to ensure progress monitoring and assessments are consistent and on a site calendar;
    • Organize records of annual data reports from prior service years for year-over-year reporting

Participation in Organizational Initiatives

  • Devote up to 10 days per year to AmeriCorps member and/or staff recruitment interviews.
  • Attend, support, and participate in site-wide events like Opening Day, Martin Luther King, Jr. Day, Annual Ripples of Hope Gala, Graduation, and other site-wide events.
  • Participate in relevant network-wide meetings and calls for problem-solving, professional development, and feedback
