Job Description

Reporting to the Service Quality Manager (SQM), and working closely with the Impact Managers and Director, the Impact Operations Coordinator (IOC) is responsible for supporting the successful operations of Impact including coordinating Learning and Development Days, creating and maintaining systems for supporting Corps Member onboarding, creating and maintain systems for office organization and upkeep, monitoring supplies, and supporting the Analytics point with data entry and data quality. The IOC will play an integral role on the Impact team by coordinating logistics and maintaining systems and databases for AmeriCorps member learning and development, program evaluation, and on-boarding needs.   

Responsibilities

Impact Operations

  • Support in Corps Member Onboarding including uniform sizing, ordering, distribution, and tracking.
  • Oversee binder creation for Basic Training Academy
  • Oversee gathering and ordering office supplies for Impact through Staples
  • Oversee and monitor Impact supplies budget
  • Oversee daily operations of the office including supply organization, printer/copier upkeep, contact and calendaring with building administrators, and emptying of recycling.

AmeriCorps Member Learning & Development

  • Support a holistic 10-month learning and development program that includes basic training academy, training days, and large-scale learning events.
  • Coordinate parking needs for Corps Members
  • Work with SQM to coordinate logistics for all learning events and training days to ensure programming, space, and material needs are met for both the site and external partners.
  • Maintain training calendars, session content and materials, and attendance records and ensure all necessary information is readily available for staff and AmeriCorps members.
  • Research and collect supplemental learning materials to create and/or improve training content.
  • Support facilitators to create meaningful learning experiences using adult learning principles and interactive training methods to ensure AmeriCorps member engagement with session content.

Program Evaluation & Progress Monitoring

  • Support the timely upload of data across service areas (attendance, behavior and course performance) into City Year’s online database.
  • Support and maintain site-based tracking systems to ensure clean and timely data collection from school teams.
  • Work with SQM to monitor data reporting systems to communicate with teams and create reports to deliver site-level progress to Impact team.
  • Support the accurate and timely reporting of data to City Year Headquarters, external funders and stakeholders, City Year Memphis staff and AmeriCorps members, and school and district partners.
  • Support Impact team in the creation of engaging data visualizations, including site-wide and school-specific progress monitoring and outcome data.
  • Support the set-up and administration of multiple assessment platforms.

Site and Network Collaboration

  • Participate in observations and field support as needed to help understand the training and service needs of AmeriCorps members.
  • Act as active member of the City Year national network the IOC may also be asked to lead on select network initiatives.

Basic Qualifications

  • BA/BS is preferred in Education, Social Work, Urban Studies, Youth Work, or other related field a plus.
  • Experience in areas of learning and development, logistics, event planning, data management, and/or education.
  • A desire to grown and learn strong group facilitation and presentation skills with the ability to motivate and engage large audiences.
  • Exceptional project management skills with the proven ability to manage multiple workflows, meet deadlines, and support others in meeting deadlines.
  • Exceptional organizational skills and attention to detail with the ability to solve problems while working individually or on a team.
  • Strong commitment to and experience developing a diverse and inclusive workforce and working effectively with people with different work styles and backgrounds.
  • Knowledge of data management techniques (experience managing large databases preferred).
  • Passion for and understanding of City Year’s work within the national service movement and education landscape.
  • Proficiency using Microsoft Office software including advanced ability in Microsoft Excel. Experience with Power BI a plus.
