KIPP is a non-profit network of 224 college-preparatory, public charter schools across the country educating early childhood, elementary, middle, and high school students. Position Overview

The Operations Coordinator is responsible for managing the front office of the school and supporting the staff in creating a joyful learning environment.  S/he will serve as the first point of contact for any students, families, staff, or visitors in the office. S/he will assist in the implementation and maintenance of clear operational systems that allow the instructional team to focus on teaching and learning. This position is an excellent opportunity for a highly driven self-starter to support a high-performing middle school. The Operations Coordinator reports to the Operations Manager. This is a full-time, non-exempt position, with benefits, that will be based out of KIPP Bridge Academy Middle School. It is available immediately. 

Duties and Responsibilities

Front Office and Daily Operations

  • Welcome and direct visitors according to the school’s sign-in procedure
  • Address all office communications, including incoming calls, faxes, files, mail, and deliveries
  • Maintain complete and accurate student records in cumulative folders and in PowerSchool
  • Place orders for office supplies, student store items, textbooks, and other materials
  • Store and administer medication to students as prescribed by a doctor or physician
  • Attend first aid training and perform first aid as needed

Student Attendance

  • Distribute tardy slips as needed to students at the beginning of the school day
  • Make morning calls home to students who are absent, and if needed, coordinate absent students’ homework drop-off and pick-up
  • Coordinate daily attendance taking, check records and turn in weekly attendance sheets to Operations Manager for review
  • Coordinate parent requests for student early dismissal according to the school’s dismissal process
  • Coordinate ongoing early releases for after-school programming, therapy, etc.
  • Track unexcused absences and oversee the truancy process
  • Oversee the independent study process for students who need to miss school for several days for an approved reason
  • Coordinate the tracking of student attendance in the ASES program

Nutrition Support

  • Ensures timely breakfast and lunch service--delivers prepared meals from the cafeteria to classrooms
  • Collects completed meal tracking forms from classrooms after meals and delivers them to OUSD nutrition staff
  • Works with OUSD nutrition staff to support meal service set-up and clean-up
  • Assists with other nutrition support as needed

Enrollment

  • Helps manage incoming applications and enrollment paperwork for new and returning students
  • Assist in student recruitment activities, preparing for the enrollment lottery, and coordinating orientation meetings and placement testing for new students

Communications

  • Help prepare weekly bulletins in English and Spanish to distribute to team & family
  • Assist in the preparation of all parent communications, including letters and report cards
  • Assist in maintaining updates and newsletters on the school website

Miscellaneous support

  • Manage inventory of all textbooks, novels, and other library books, if needed
  • Manage the student store and assist with any school fundraisers
  • Help plan and host on-campus and off-campus school events, including student field trips
  • Assist team as needed to build a safe, joyful learning environment

Skills and Qualifications

  • Spanish speaking ability required 
  • High school diploma required
  • Demonstrated proficiency with Microsoft Word and Microsoft Excel
  • Experience working in a school or non-profit preferred
  • Ability to self-direct, prioritize and multi-task among competing goals
  • Demonstrated ability to work well with others and build relationships across teams
  • Excellent written and verbal communication skills with keen attention to detail
