The Senior Accounting Operations Director works under the direction of the Controller and is responsible for purchasing and procurement, vendor management, expense and cash management, and general accounting functions while ensuring compliance with GAAP and internal policies and procedures. The Senior Accounting Operations Director helps coordinate the monthly and annual closes as well as the completion of the annual audit and manages the organizations travel Operations, fleet Operations, and annual report filings. The Senior Accounting Operations Director manages and develops the accounting and accounts payable staff. Responsibilities Plan, organize, and direct the accounting and purchasing functions enterprise-wide, including the monthly and annual close process. Develop, monitor and exercise supervision of the disbursement and purchasing functions; audit invoices; direct, monitor and assist in reconciliation of balance sheet accounts, including all bank and investment accounts. Control the timing of the release of non-payroll payments to maximize cash flows, track banking fees to ensure they are kept to a minimum, and maintain a short-term investment account where excess funds are kept until needed.  Oversee all banking relationships. Perform a variety of accounting functions, including reviewing and posting journal entries; recording accounts receivable and payable activity and preparing reconciliations and reporting, such as aging of payables and receivables.  Assist in the design and implementation of payable processes to maximize efficiency. Participate in, and where appropriate, lead the implementation of key financial and related business systems, i.e. ERP, CRM.  Assist with accounting system upgrades, and design of accounting system interfaces with other corporate software. Oversee travel system and fleet management program. Collaborate with Grants Finance Manager to ensure seamless integration between the grants finance and accounting operations so that work products are timely, accurate, optimized and informed by the work of each other. Evaluate the effectiveness, from a financial standpoint, of City Year efforts to support its locations across the country.  Create and monitor systems to improve outcomes as needed. Lead Accounting Operations Team by elevating staff capabilities to higher levels of professional growth and success. Provide timely, encouraging, and constructive feedback to staff, helping them to navigate their professional development path.  Prepare detailed and thoughtful semiannual reviews that provide developmental insights.  Participate in the ongoing development, implementation and maintenance of policies, procedures, and internal controls; assist in the performance of the internal audits of procedures and the ongoing assessment of internal controls; responsible for monitoring and maintaining accounting operations policies and standard operating procedure manuals and materials; and communicate related expectations clearly. Assist in preparation of annual financial statements, IRS Form 990, and MA Form PC.  Aid in coordination of the annual audits of the financial statements, employee benefit plans, federal and state compliance audits and other agreed upon procedures with external auditors. Perform any other related duties and required or assigned. Qualifications Bachelor’s Degree in accounting or finance required or equivalent experience.  CPA and/or Masters Degree in accounting or finance preferred.  Five or more years in accounting or financial management required.  Nonprofit experience helpful. Working knowledge of GAAP and FASB accounting standards, as well as IRS requirements. Highly proficient in applying technology to work processes. Strong Excel spreadsheet skills required.  Experience with large ERP (Enterprise Resource Planning) systems software platform required. Knowledge of financial best practices and ability and eagerness to design and apply such to current environment. Excellent verbal and written communication skills; demonstrated skills in diplomacy, team building, and connecting people to a common vision.  Ability to present complex information easily and accurately. Demonstrated ability to analyze qualitative and quantitative information and the skill to teach others to do the same. Demonstrated management and supervisory skills in a diverse environment.  Five or more years of supervisory experience required.  Demonstrated ability to develop staff to higher levels of professional responsibility and success. The Major Gifts Officer (MGO) will lead the Red Jacket Society (RJS), City Year’s national, major gifts program and a key pillar of City Year Boston’s private fundraising strategy. The MGO will be responsible for building and managing relationships with high net worth donors and prospects, specifically focused on expanding the pool of major gift donors (defined as $10k+). Reporting directly to the Managing Director, Resource Development & Marketing, the MGO will also work in partnership with the Executive Director, the Individual Giving Director and Team, other staff and volunteers to leverage all of City Year’s assets to cultivate and engage RJS members and prospects. The MGO will maximize membership in, and revenue from RJS and help City Year Boston achieve its fundraising goals. Responsibilities Donor Acquisition Strategy: Create and implement a strategic plan for identifying and cultivating new individual donors with significant giving capacity, with a goal of securing $ 5M in major gift support annually at scale. Take lead on soliciting leadership gifts and multi-year investments and collaborate with corporate team to leverage individual support from corporate partners. Donor Recognition and Ongoing Engagement: Ensure proper and timely recognition of donors and ongoing stewardship. With support of Development Operations team, maintain accurate records and donor information in database. Events:  Leverage City Year Boston events to increase the number, of and revenue from, major gifts such as specialty breakfasts, gala, service days, and school visits. Oversee at least three RJS donor cultivation events a year aimed at engaging potential RJS members. Community Representation:  Represent City Year at corporate and community functions to establish and deepen potential and current donor relationships. Additional Individual Donor Activities:  Manage a portfolio of leadership donors for whom they will be directly responsible to cultivate, solicit, and steward, as RJS gifts. Promote membership in City Year Boston’s Red Jacket Society, inviting donors to personally invest $10,000+ per year, focusing on securing multi-year commitments of 3+ years. Recruit, train, motivate, and manage a group of dedicated Red Jacket Society volunteers to help City Year strengthen donor relationships and raise the financial resources necessary to fund current and future programs Retain and increase alumni and parent RJS membership; and implement other new and innovative strategies to it increase RJS membership from these communities. The Individual Giving Director partners with Site Leadership and the Development team to identify, cultivate, solicit and steward individual donors and family foundations. The Individual Giving Director will focus on building the overall individual donor base to raise increased resources, and ultimately, serve more students in Boston. This position reports to the Managing Director of Resource Development & Marketing and manages two Individual Giving Managers. The Individual Giving Director will work collaboratively with the Major Gifts Officer, Executive Director and the Development & Communications team to raise the profile of City Year Boston and our individual giving programs and work seamlessly with the Major Gifts Officer to cultivate, solicit and steward a robust pipeline of Red Jacket Society prospects. Program & Volunteer Management Work with the Development staff and volunteers to develop, execute and evaluate strategies to engage individual donors through outreach, education, invitations to special events, and personal contacts. Lead the development team to leverage existing and future City Year events, such as the annual dinner, specialty-market events, and other select gatherings, to raise awareness and to secure financial resources for our work. Collaborate with the Communications & Marketing Director and Development Operations Director to create and implement donor communications and acknowledgements related to cultivation and stewardship of donors and prospects. Recommend new engagement opportunities and implement best practices for future activities and strategies. Organizational Initiatives & Site Support Work closely with fellow Development team members to understand priorities and business goals, and develop strategies to meet the organization’s needs. Serve as a powerful City Year Boston representative at local events and community functions. City Year Boston provides hands-on learning opportunities for undergraduate/graduate students interested in non-profit administration careers. Interns will support a variety of projects that help City Year carry out our education mission by assisting in customer service, research, data collection, event execution, and more. Each intern will be matched with a specific department (descriptions below). Additionally, each intern will assist with general office operations, administrative work, event support, and data entry. Internships are typically between 10 and 20 hours per week during business hours (9am-5:30pm, Monday-Friday), and can be flexible with a student's academic calendar and extracurricular commitments. Please note that all internships are office based and interns do not serve in schools. The following internship is available at City Year Boston: COMMUNITY PARTNERSHIPS & RECRUITMENT INTERN: The Community Partnerships & Recruitment intern must be an individual that is strong in relationship development and seeks to engage within the Boston community. They must also be able to provide support to a team of recruitment managers and organize various tasks that will be used to support community engagement and local recruitment for City Year Boston.  Responsibilities include: attending community events to represent City Year, coordinating logistics and supplies for events, event planning support, team operational support (ordering supplies, assisting with external event prep, supporting management of team documents/calendar), supporting internal City Year events as needed, collaborating amongst multiple departments to execute various tasks that are linked to Community partnerships work, engaging with community partners, supporting the team in systems data entry Internship Details   This is an unpaid opportunity where interns will learn and develop a variety of highly competitive resume building skills including community engagement, organization, teamwork, project planning and execution, communication skills and customer service, multi-tasking, service learning, and networking. Interns will have the opportunity to participate in Corporate Service Days with our Development team, Lunch and Learn seminars with members of our Leadership Team and will be paired with a staff member who will serve as their mentor throughout the internship.
