Great Lakes Academy Front Office Manager Great Lakes Academy is a high-performing charter school established in 2014, and operating K-6 in SY2019-20, building towards K-8 by SY2021-22. Our mission is to prepare all of our students with the fundamental academic skills, critical thinking ability, and strength of character to excel in high school, college, and a career of their choice. For the 2 academic year we are serving students in grades K-6 and will continue to add a grade level annually to reach K-8. We are seeking a high capacity, fiercely positive, detail-oriented Front Office Manager to lead a well-oiled Front Office. Job Description The Front Office Manager plans and manages GLA towards strategic and tactical excellence, using and improving established systems. The Front Office Manager builds, manages, and deploys his/her Front Office team as they parent-facing systems such as outreach, newsletters and parent and family School events; student recruitment, enrollment, registration, rostering, and placement in classrooms; and collaborates with Operations in daily, weekly, and monthly meetings and Summer Systems Refresh. The Front Office Manager is versatile in on-line platforms which perform database, tracking, and analytic functions. Currently, GLA uses Dean's List as its primary Student Information System: student attendance and behavorial tracking, parent communication, and more. Illuminate is GLA's analytic on-line system, and is used to build Report Cards. Lexia and Zearn support student learning. Aspen is CPS' Student Information System. NWEA, STEP, and ACCESS are testing platforms used in student assessment. GLA measures itself by clear rubrics, against which the Front Office Manager regularly reviews performance to realize GLA's vision of a School of well-run systems which make it easy for our teachers to excel in their difficult roles, and our School to achieve its mission. The Front Office Manager is the leader of the Front Office, and manages a team consisting of one full-time, year-round School Secretary. The Front Office is supported by the Operations Team consisting of the Director of Operations, and his/her Operations Associates who will regularly assist the Front Office. From time to time, the School will also retain Interns for defined periods of time, who will be charged with specific projects. The Front Office Manager role reports to the Chief Administrative Officer, who is responsible for Operations, Front Office, Finance and Budget, Technology, CPS Compliance, and special projects such as Building Expansion. The Front Office Manager works in tandem with GLA's Executive Director, CAO, Principal, Assistant Principal, Director of Operations and other GLA leadership. Key Areas of Responsibility 1. Managing to ensure our team delivers on its goals · Plan and oversee the implementation of the School's Front Office systems, working personally and through team. · Manage School Secretary and potentially interns, which includes: o ensuring your team has ambitious goals and plans in place to meet them; o developing your team's skills, including providing clear and useful feedback; o addressing performance issues; o working to ensure that top performers are retained and low performers are transitioned out; and o serving as a thought partner and resource to the CAO, Principal, and ED in their realms of responsibility. · Ensure we hit our goals each year, which will include supporting our annual goal-setting process and developing a robust set of metrics and systems to track our progress against goals. 2. Using, Improving, and Establishing systems that will enable all stakeholders to meet their goals · Analyze the strengths and opportunities of our Front Office department, utilize GLA's evaluation and coaching systems, and develop leadership in the Front Office Team. · Ensure that all staff members have the materials and guidance they need to do their best work. · Taking and giving direct and fair feedback, making suggestions for improvement, and using meeting time well to improve our Front Office's ability to meet all-School goals · Using or developing skills and expertise in school information systems including Drive, Word/Excel, Dean's List, and the CPS Operating System (Aspen). · Making sure our parents feel informed, respected, and appreciated. · Making sure enrollment outreach is efficient and effective, that application enrollment targets are met, and that the School meets its ultimate enrollment targets. · Making sure our attendance figures are accurate and up-to-date. · Making sure our student files, both soft- and hard-copy, are accurate and complete. · Facilitating effective parent-teacher communication. · Making sure our student, parents, and school staff feel our structures working daily to help them be safe, productive, respected, and informed. · With the CAO, propose and carry out Professional Development for Front Office staff, and all-School staff. 3. Serving as a senior leader of the organization Work closely with the CAO, ED and Principal to develop, articulate and implement overall organizational strategy With the CAO & Principal, act as "Chief Problem Solver" to handle ad hoc issues that arise, and develop and implement smart solutions Master, Coordinate, and Implement Front Office Systems with fidelity Create and manage staff schedule and meetings systems Become, and enable others to become, adept in Drive, Dean's List, Illuminate, Aspen. Become, and enable others to become, adept in setting up rosters for enrollment, assessment, and other purposes. Use the Operations Team to support the front office in enrollment, student files, family communication, and report cards as needed. Daily support of school-wide systems and structures such as morning entry, dismissal, Key Tasks Lead and coach GLA School Secretary and Interns Competencies/Key Qualifications A drive to make things happen. Minimum of two years of experience working in a similar capacity, encompassing both people management and project management, with a demonstrated track record of success.
