City Year New Hampshire is seeking a dynamic, creative, and detail-oriented Site Operations Coordinator who will manage daily operations and site finances to support the efficiency of the City Year site. Reporting to the Chief of Staff and working closely with the senior leadership team, the Site Operations Coordinator will provide cross-functional support across City Year New Hampshire’s various departments and will ensure operational tasks are handled quickly and efficiently to keep the site running smoothly. Responsibilities: Daily operations of office and vendor relations. Maintain inventory of all office equipment (computers, printers, telephones, cellular phones, fax machines, and voice mail). Maintain adequate office supplies and materials. Maintain good relationships with all vendors, assuring best values. Site Finances. Manage site finances by processing staff check requests/purchase, petty cash, orders/reimbursement requests, contract processing, and documenting/processing accounts payable and accounts receivable. The Site Operations Coordinator will work closely with National Finance in tracking and reporting expenses. This role will work to ensure the site is getting maximum value for all purchases and contracts and will be responsible for submitting packages to City Year’s National Headquarters. The role will support and coordinate travel arrangements for staff and corps to various events and conferences. Technical and Web Application Support. Serve as site point for all information technology needs including maintaining and developing our Microsoft SharePoint intranet. Work with the National information technology staff to assure high quality of customer service to users. Uniform Fulfillment. Assure the prompt and proper distribution of uniform parts to corps and staff. Oversee all uniform concerns such as monogramming, relative to City Year standards. General Site Support. Respond to staff and landlord needs as they pertain to the office. Assist with shared goals of City Year New Hampshire. Assume other tasks as delegated by their supervisor or other members of the senior leadership team. Participate in Site Events. Provide support with the recruitment and interview process of perspective AmeriCorps members. Support site events such as Opening Day, Graduation, Annual Gala, MLK Day. Attend and participate in both AmeriCorps and Staff retreats, as well as department and staff meetings. Qualifications: BA/BS degree preferred. Excellent written and verbal communication skills. Excellent organizational skills and an acute attention to detail and accuracy. Willingness to work under pressure and in high-demand situations. Ability to multi-task and prioritize requests from multiple members of the team. Strong interpersonal and communication skills, both written and verbal. Excellent skills in Excel. Versed in Salesforce database and report creation through the system. Demonstrated ability to work with individuals with diverse backgrounds, interests, and skills. Commitment to helping a highly successful organization implement systems and structures to support significant growth. Deep understanding of City Year’s mission and the national service movement is helpful. AmeriCorps/City Year alumni are encouraged to apply.
