City Year Denver is seeking a dynamic, creative, and detail-oriented Site Operations Coordinator who will create processes to support the efficiency of the site and work in collaboration with the entire City Year staff. Reporting directly to the People & Site Operations Director, the Site Operations Coordinator is responsible for day-to-day office operations activities including, building management and vendor relations, office equipment and asset management, budget and expense tracking, accounts payable and receivable processing. The Site Operations Coordinator also serves as site liaison to City Year Headquarters and leads site-based AmeriCorps member support efforts in uniform management, local transportation, relocation benefits, and pantry. Working with the People & Site Operations Director, the Site Operations Coordinator will help plan site events like Opening Day, Principal Summit, and Graduation. The Site Operations Coordinator will help maintain an accurate and robust donor database, ensure all funds coming in are processed accurately and in a timely manner, and donors are acknowledged for their gifts. Additionally, this role will help support two large-scale fundraising events including annual Women's Leadership Breakfast and Ripples of Hope Business Luncheon. Activities may include registration support, set-up, production of needed collateral or materials and other activities to ensure a successful event. Finally, the Site Operations Coordinator will assist the Executive Director with communication and scheduling with external partners, including the Board of Directors and major donors. Additional special projects from the Executive Director will be assigned as needed. Responsibilities: The Site Operations Coordinator will provide cross-functional support across City Year Denver’s various departments and will ensure operational tasks are handled quickly and efficiently to keep the site running smoothly. Financial Management: Weekly processing of all accounts payable, travel, and cash management requests for the site while maintaining accurate documentation. Track expenses and monitor department budget. Timely submission of all financial documentation to Headquarters. System Management: Regularly create, lead, and assess systems for effectiveness for corps support projects including uniform management, RTD bus passes, relocation benefits, and needs-based pantry Assist in development operations including database management, donor acknowledgment, and gift processing Navigate CY systems, including SharePoint, Workday, and Salesforce Relationship Management & Support: Cultivate strong relationships with all stakeholders (internal and external to City Year) through efficient and consistent communication, solution-based thinking, and execution of tasks. Assist Executive Director in scheduling meeting with new and established partnerships as well as City Year Board of Directors Maintain good relationships with all vendors and property management company Support Executive Director and People & Site Operations Director in organizing and executing Board of Directors meetings, All-Staff meetings, and retreats Facilities & Resource Management: Lead efforts to management office space so it positively reflects our brand and individuals take pride in maintaining and using the space. Maintain good operations of all office equipment and complete weekly office supply orders. Host and organize any external group events hosted here at the Denver Site. Staff front desk. Provide phone coverage of the main phone line. Respond to staff and property management company needs as they pertain to office management. Event Planning & Logistics : Provide event support to the People & Site Operations Director for site events, including Opening Day, Principal Summit and Graduation. Provide event support to the Development Team in preparation for large-scale events including the Ripples of Hope Business Luncheon and Women's Leadership Breakfast. Support Collaborative Site Priorities: Participate and contribute to building the culture and impact of City Year Denver through cross-departmental efforts Qualifications: Associates Degree, Bachelor’s Degree or equivalent work experience Strong interpersonal and communication skills, both written and verbal Excellent organizational skills and acute attention to detail and accuracy Willingness to work under pressure and find creative solutions to problems Ability to multi-task and prioritize requests from multiple members of the team Demonstrated ability to work with individuals with diverse backgrounds, interests, and skills Skills in the Excel, Microsoft Suite, and/or Salesforce a plus Required to work out of the Denver site Ability to work some weekend and evening events as needed Strong connection to City Year’s mission and the national service movement AmeriCorps/City Year alumni are encouraged to apply Compensation and Benefits Full time employees are entitled to compensation commensurate with experience. The Montessori Academy of Colorado is seeking an Office Manager to carry out responsibilities in the efficient functioning of the front office through a range of administrative and financial tasks. The Office Manager ensures the smooth running of the office on a day-to-day basis and prioritizes daily classroom staffing. This is a full-time, 12-month position whose hours are 7:00 am - 4:00 pm each day. The Office Manager is an integral part of MAC. This position requires a solution-oriented mindset, positive attitude, flexibility, and a strong commitment to do whatever it takes to get the job done right. General Duties: Operations: Establish and maintain positive working relationships with members of the school community Be a valued resource for all teachers and employees Own daily staffing of classrooms, including support of ratio compliance and working in classrooms when needed Maintain Employee Handbook and recommend changes Maintain records of fire and other emergency drills and conducting drills when appropriate Create and maintain all staff files Support after-school staff needs Support Director of Finance with payroll and other employee-related tasks as assigned Other duties as assigned Human Resources: Support the Director of Operations with employee onboarding process including employment forms, background checks, and employee benefits Maintain employment records Manage employee time and attendance records, staff attrition and time off requests Manage and maximize efficiency of time clock system, including initial entry into time clock Oversee W-2 distribution for existing and former employees Education and Experience: Bachelor's degree 3-5 years experience in an independent school setting, preferred Experience with HR and/or customer service Demonstrated ability to communicate, solve problems, and maintain effective relationships with all members of the school community High level of interpersonal skills to handle sensitive and confidential situations and information Ability to plan, organize and work independently with minimal direction Benefits: Eligible for benefits including medical and dental on the first of the month following 60 days of employment Eligible for 25 Paid Holidays throughout the year (including 2 week Summer Break in August) on the first of the month following 60 days of employment Accrued Paid Time off - 7 days/year (accrual starts upon hire)
