About the R ole The Executive Assistant provides high-level administrative and logistical support to the Tampa Bay Executive Director by anticipating and responding to all the detailed work that it takes to launch and operate a network of high-performing charter schools across Tampa Bay . The Executive Assistant ensures that all members of the Tampa Bay Regional Team have the support necessary to complete their work successfully, specifically related to business, travel, and access to supplies. Accountabilities: Manage Executive Director's calendar to ensure that 95% of calendar goals are met . Maintain executive's appointment schedule by planning, scheduling, and confirming meetings, conferences, teleconferences, and travel Record, track, and communicate follow-up from meetings Conserve executive's time by reading, researching, and routing email and other correspondence; drafting written communications; completing reports; collecting and analyzing information as needed ; and t rack ing weekly goal achievement on appropriate data board s All procurement/regulatory procedures are followed in compliance with business office policy. Reconcile assigned credit cards weekly (to include descriptions, account codes, and receipts) so that 100% of monthly p-card reconciliation is complete by the 2nd business day of every month and 100% of receipt packets are submitted by the 3rd business day Monitor the regional discretionary budget so that the fiscal year ends on target (or with a surplus) Manage travel arrangements (reserve flights & hotels, submit per diem requests and mileage reimbursements) for regional staff members, board members, and visitors, according to business office procedures and timelines Design and oversee adherence to office policies and procedures Maintain a welcoming, safe, orderly, and secure working environment at the regional office Track weekly and m onthly goal achievement on appropriate data board s 90% of participants agree or strongly agree that meeting/event logistics were managed well according to post-event surveys. Creating and confirming the activity calendar for the group Database setup and management Ensuring the EF Center is set up prior to student and staff arrivals Managing and motivating your team Confirming all transport arrangements Planning and coordinating arrivals and departures Overseeing the management of stock and equipment Preparing and delivering staff meetings and briefings Ensuring customer service goes above and beyond student expectations Liaising with suppliers Budgetary control, payroll and ensuring the Center's paperwork is up to date Student welfare and discipline Dealing with problems and emergency situations should they arise Has management experience (1+ years preferred) English fluency Has experience working with young people and/or international students Is business-minded with a strong sense of customer service and attention to detail Enthusiastic, upbeat and a natural leader with high energy and an entrepreneurial spirit Possesses strong communication skills and teamwork abilities Goes above and beyond, never settling for status quo Available for part-time program set-up in the month's prior to summer program
