Position Overview The Special Education Associate will support the special education team with project management and administrative duties including instructional materials ordering and management; data and records management; special education team operations support, and other administrative duties as needed. This role will provide a vital support function for the Special Education Team as we support 15 schools with more than 5,000 students. The ideal candidate for this position is extremely detail-oriented, has impeccable follow-through, and is a team player, skilled planner, and self-starter. We are looking for someone who is passionate about KIPP’s mission and enjoys being part of a high performing team. The Special Education Associate is based out of our Regional Office in downtown Oakland (BART accessible) with occasional travel to our local schools and communities throughout the Bay Area – including San Jose, the Peninsula, San Francisco, and the East Bay.  The Special Education Associate will report to the Associate Director of Special Education. This is a temporary, part-time position (.6 FTE) and the end date of employment is TBD. Roles and Responsibilities: Maintain Special Education Information System (SEIS) data to ensure that staff and student records, timelines and IEP data are in compliance with IDEA, California Education Code and SELPA requirements.   Maintain student data, in collaboration with Operations Team, to ensure alignment between SEIS, Powerschool, and CALPADS to ensure accurate reporting. Coordinate with Operations Team to ensure the special education team has access to an enrollment lottery system and use that data to identify incoming students; ensure case managers receive IEP records from the previous school.  Maintain student records in accordance with legal requirements and KIPP policies; request and distribute files for incoming students; copy and deliver files for transferring students Identify and contract with nonpublic agencies for needed services; ensure contracts and agreements are executed; process invoices in a timely manner. Submit order requests, process invoices and monitor the fulfillment of contracts and usage for personalized and other online learning platforms for special education staff members and programs. Process invoices and reimbursements; reconcile credit card statements of the special education department Track and monitor the special education department expenditures for materials, travel and professional development budgets. Support annual reporting to SELPA and other agencies. Coordinate special education department events (i.e., food catering and logistics), professional development and meetings as well as school visits, if needed. Other data entry and maintenance of student records, as needed by the department. Perform other duties as assigned. Qualifications Results orientation and the ability to get multiple projects done efficiently and excellently; Outstanding project execution skills to effectively prioritize, coordinate, and execute on a number of details; Highly collaborative, teamwork orientation Ability to self‐direct and prioritize among competing goals and are excited about initiating process improvements Familiarity with Microsoft Office (Word, Excel) Proficiency (or ability to learn) Google applications (e.g. Mail, Calendar, Docs, Drive) Some commitment to KIPP Bay Area Public Schools’ mission and values  Familiarity with education or special education administrative work is preferred, but not required 2-3 years of relevant work experience is preferred Physical/environmental requirements of the role :  Ability to lift up to 20 lbs (i.e., paper files, student supplies/ curriculum, test-kits, or food delivery) Ability to work in an office, classroom and outdoors Ability to independently navigate an office or school campus to get students, carry packages, or hold meetings in different spaces, etc. Ability to access and utilize technology (ie, Google suite) to keep up to date records Critical thinking and mental focus necessary to record data, ensure accurate reporting, and maintain consistent clerical records. The Education Trust–West seeks a Director of Communications to advance the organization’s ambitious agenda to expose and eradicate injustices and inequities in California schools, colleges, and systems of education. Managing the Communications Department and reporting directly to the Executive Director, the Director of Communications will work alongside Ed Trust–West’s P-12 and higher education research, policy, and practice teams to develop and execute communications strategies that advance the organization’s advocacy goals. ABOUT THE ORGANIZATION The Education Trust–West works for educational justice and the high academic achievement of all students at all levels, pre-K through college. We expose educational injustices and inequities that separate students of color, English learners, and low-income students from their peers, and we identify and advocate for the strategies that will forever close equity gaps. We work alongside P-12 schools, districts and institutions of higher education to understand and evaluate the effectiveness of strategies intended to reduce and eliminate racial equity gaps. We use lessons learned in these efforts, together with unflinching data analysis, to drive a state and national conversation about how schools, from pre-kindergarten to universities, can better serve students of color, English learners, and low-income students. MAJOR RESPONSIBILITIES The Director of Communications’ responsibilities include, but are not limited to the following: Organizational Leadership and Management Collaborate across teams and with leaders to oversee and develop the editing and design process of ETW external materials in print, digital, and live mediums – including reports and associated collateral, opinion pieces, blogs, press releases, official statements, and external presentations Supervise Communications team members (1-3 people) as well as external contractors Provide media and communications training and support to key ETW staff and partners Strategic Communications Develop and implement short- and long-term multi-platform communications plans aligned with the ETW’s brand as part of advocacy campaigns Oversee the organization’s social and digital media strategy, and leverage multi-media platforms to maximize the impact of our advocacy efforts Develop and implement metrics to track the level of engagement of ETW’s network and to test the effectiveness of communications activities Ensure ETW brand identity and ETW voice through writing and editing a variety of materials Review written pieces from other teams and edit for clarity and brand alignment Contribute to grant reports and foundation proposals Relationships with Media Build and nurture relationships with journalists, opinion leaders, and a broad range of education stakeholders to help advance the mission and efforts of the organization Oversee the development and placement of news stories, op-eds, press statements, in key print and online media outlets to increase ETW’s visibility as a leader in the educational justice movement QUALIFICATIONS AND EXPERIENCE At least 8 of experience in communications in an education policy, political, or advocacy setting Undergraduate degree required, Master’s degree in related field preferred Experience managing staff to their full potential Robust racial justice lens Demonstrated ability to plan effectively but maintain flexibility to handle the unexpected and to juggle multiple projects in a fast-paced environment Outstanding writing/editing and verbal communications skills Diplomatic communication and strong presentation ability Exceptional organizational skills with an eye for detail Strong computer skills; proficient or advanced skills in Microsoft Suite (Word, Excel, PowerPoint, and Outlook), high level of comfort with social media and related software Fluency in writing and speaking in Spanish is a plus COMPENSATION Salary is commensurate with experience and qualifications.  The Education Trust-West offers a comprehensive benefits package.
