Position Overview The Events Manager will be responsible for leading KIPP Bay Area Public Schools’ events strategy and implementation. The Events Manager will work closely with board members, host committee members, and the External Affairs team to manage and successfully implement several high-profile events each year. This individual will also develop and manage the plan for other smaller events throughout the year, helping us to create experiences that enable new audiences and prospective donors to support KIPP Bay Area. The Events Manager must have expert project management skills, event planning and production expertise, and the ability to work collaboratively with different audiences. This individual will play a critical role within the organization as the primary lead on all events – ensuring that every event represents KIPP Bay Area Public Schools well, engages the host committee effectively, and deepens and builds our donor base. The role will also require excellent communication and relationship management skills, meticulous attention to detail, a commitment to accuracy, and strong project management skills. This position will be located at our Regional Support Office (RSO) in Oakland and will report to our Director of Development. Roles and Responsibilities The Events Manager position will include the following roles and responsibilities: Develop events strategy Define priorities . Work closely with the development team to create an events strategy, as a critical component to our annual planning. Set ambitious goals. For each event, clearly define qualitative objectives and quantitative goals, to clarify how we will evaluate success. Create an annual calendar . Work closely with the team to develop an annual calendar of events, which includes not only the two signature events, school tours, school-based volunteer events and critical organizational milestones (e.g., graduation receptions, ground-breaking of a new building, and other unique opportunities (e.g., hosted dinners). Develop processes and systems. Adopt best practices for event planning and execution, such that we build upon our successes and continue to refine execution. Manage high-quality events Project manage events . Serve as a primary project manager to produce high quality and engaging events for prospective donors and critical audiences. This position will also support the regional team and family end of year celebration. Collaborate with board and host committee members. Facilitate, support, and lead host committee members towards creating impactful and successful events. Develop program content. Work closely with the host committee and team to develop high-quality content that engages audiences. Each event will represent KIPP Bay Area Public Schools, and will often include school participants (e.g., students, teachers, principals); this individual may work to integrate them into our events and support their preparation. Work with third-party vendors. Coordinate and manage the work of external partners, including event planner for an annual fundraising event, contacts at the venue, caterers, audio and video providers, printers, and others Manage a successful follow-up. Recognize that work is not complete when an event ends, and manage related follow-ups (e.g., debriefs, closing out work with vendors, stewarding relationships) Support development and broader team efforts Build and expand donor audiences. Work closely with the development team to target events to specific audiences, and strategize appropriate preparation and follow-up. Enable successful cultivation and stewardship. Support development team efforts to create a positive donor experience and enable effective cultivation and stewardship. This includes but is not limited to organizing school tours, graduation receptions, school openings, and other unique events. Increase corporate sponsorships. Use events to build strong relationships and manage corporate sponsorships of events and corporate employee volunteer days. Support special projects . Work closely with Executive Director, Chief External Affairs and Communications Officer to manage and coordinate special initiatives and projects as needed . Skills and Qualifications Project management . Exceptional organizational and project management skills. Able to self-direct and prioritize among competing goals to create manageable work plans and initiate process improvements. Able to build strong partnerships and trust, with internal and external stakeholders. Communications. Exemplary communication skills – written and oral. Event production . Exhibits track record of success in producing high-quality benefits and events. Problem-solving . Able to seek creative solutions in challenging situations. Open to considering different perspectives and being influenced by others. Attention to detail. Meticulous attention to detail, commitment to accuracy, and a high-quality bar, specifically with that of execution.
