The job of Student System Coordinator was established to create, maintain, and manage access accounts and information related to the student information system(s). This includes, but is not limited to, assuring accuracy of data in the student records system, training and managing staff access and accounts in the student system, and account properties.

Essential Functions:>/b>Analyze administrative offices' and school buildings' reporting requirements for the purpose of recommending options to optimize the use of student system software.
Arrange for the effective update and communication of information regarding the student system for the purpose of communicating updates.
Assist other personnel with Attendance, Truancy, Student Behaviour, Weapons, Homelessness, and other student reports as required for the purpose of supporting them in the completion of their work activities.
Assist the Categorical Programs Department with data pulls and maintaining the district dashboard.
Serve as the Categorical Programs Parent Liaison for the district.
Communicate effectively with staff and the general public, in person, by telephone, in writing, and via email for the purpose of communicating effectively.
Coordinate and help to develop new processes for the handling of data by downloading to other media, as well as the interchange of information between personal computer applications and the student information system, for the purpose of developing new processes to meet individual, school, and district needs.
Coordinate maintenance and reporting of student records for the purpose of developing data input procedures to meet individual school and district reporting needs.
Develop and implement procedures and training materials for all student registration and withdrawals for students, including accurate enrollment reporting for the purpose of protecting the integrity of the district's data infrastructure.
Develop training materials for all student information handouts and videos.
Investigate and resolve application functionality-related issues for the purpose of providing support and troubleshooting.
Maintain district-wide coding and data systems, including those for grade book, enrollment, discipline, attendance, calendars, health, and common courses in the student records system for the purpose of providing accurate information for a variety of purposes.
Maintain an up-to-date understanding of the overall operation of the department, including all standard software applications used by the District, and a working knowledge of hardware for the purpose of supporting and enhancing the District's student systems.
Oversees installations and implementations of new and upgraded applications for the student management systems for the purpose of increasing system efficiency and accuracy.
Manage and audit boundary exceptions, ensuring all inbound and outbound data transfers adhere to strict validation rules and privacy standards.
Prepare and assist with custom reports for the student system for buildings, departments, and administration, as requested, for the purpose of providing data to staff as requested.
Provide technical expertise and recommendations for the student management software system, projects, and initiatives for the purpose of supporting and enhancing the district's student systems.
Research, analyze, and provide appropriate information and develop training for new applications in or tied to the student system for use within the District for the purpose of supporting the needs of the school district.
Serve as district liaison with Educational Service District 112 for the student management system for the purpose of updating processes.
Assist district staff with third-party software that interfaces with the district student information system.
Stay abreast of OSPI changes, implement changes in the district's student information system, and communicate changes to appropriate district staff.
Support and troubleshoot OSPI information reporting systems.
Serves as the district liaison to OSPI for Cedars reporting.
Responsible for Civil Rights Data Collection reporting.
Serves as the district's transportation liaison with the busing contractor.
Will serve as a point of contact for records retention in regard to student records.
Respond to inquiries of staff, other educational institutions, the public, parents, and/or students for the purpose of providing information and/or direction.
Maintain the integrity of confidential information relating to students, staff, or district matters.
Serve as a resource to employees and/or organizations for the purpose of interpreting and conveying appropriate procedures required for district operations.
Support district staff for the purpose of ensuring the efficient operation of the district in matters regarding the student system.
Assist other personnel for the purpose of supporting them in the completion of their work activities.
Attend meetings as assigned for the purpose of conveying or gathering information.
Participate in workshops and training sessions as required.
Performs multiple technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions.
Maintain positive relationships with staff, students, and parents.
Communicate effectively with staff, students, and parents.
Other duties as assigned.
Participates in meetings, learning opportunities, workshops, and seminars for the purpose of conveying and/or gathering information required to perform functions.
Create excitement around teaching and learning, and maintain staff and student morale.

Job Requirements

High school diploma or equivalent with post-high school training preferred.
Experience with the Skyward/Qmlativ system is preferred.
Demonstrated ability to use Microsoft Office Suite and Google Suite, intermediate level or higher preferred.
Demonstrated ability to professionally and courteously work with students, parents, administration, and community members.
Demonstrated ability to effectively operate all commonly used office equipment.
Demonstrated ability to handle confidential matters appropriately and ethically.
Demonstrated ability to perform general office procedures.
Demonstrated ability to maintain efficient and accurate records and files.
Demonstrated ability to work effectively individually and as a team member.
Maintain a neat and clean personal appearance; work apparel should be appropriate for a professional and safe work environment.
Demonstrated ability to use proper grammar, spelling, and punctuation in oral and written communication, and proficiency in mathematics.
Must be self-motivated toward assigned duties.
Experience with, and commitment to, students with a variety of educational abilities, skills, and backgrounds.

1) Successful completion of criminal history and fingerprint check through the Washington State Patrol and FBI (ESD112).
