Position Title: Admission, Enrollment, and Financial Aid Outreach Coordinator

Germantown Academy is an independent, coeducational, college preparatory day school located on a beautiful 126-acre campus in the Fort Washington suburbs near Philadelphia, Pennsylvania. The school serves more than 1,200 students in grades PK-12. Position Purpose: Reporting to the Director of Admission, Enrollment and Financial Aid, the Outreach Coordinator supports all admission communication, recruitment, and marketing efforts. They coordinate the Middle School and Upper School student and parent visit experience for all applicants. As advisor to The Mackinetts, they manage all aspects of the volunteer student members of the admission team. They also manage all processes related to admission events including communication and reporting. Additionally, the coordinator maintains an accurate inventory of all marketing materials. In collaboration with the Director, they are responsible for the implementation of the Admission Marketing communication plan. They may be asked to support the other team members, and intra-departmental work including support of data entry as needed.

Key Responsibilities:
1.Manage Student Visit Days for Middle School and Upper School.
a.Oversee online sign-up process.
b.Support all Student Visit Day details including administration of OLSAT and data entry for the OLSAT for Middle and Upper School applicants.
2.Serve as advisor to "The Mackinetts" - Middle and Upper School student members of the Admission Team.
a.Implement plan for student leadership - Senior Leadership Counselors.
b.Coordinate training sessions for tour guides, hosts, and student panelists.
c.Organize student-led tours.
d.Assign host students to visitors.
e.Select panelists for admission-related events and all school events as requested.
f.Maintain accurate participation lists to support student with their community service hours.
3.Provide Recruitment & Retention management and support.
a.Manage details related to all initiatives:
i.Oversee the scheduling, preparation, organization, and set up of all outreach events including am@GAs, targeted outreach, yield events, feeder school events, etc.
ii.Coordinate details with Directors of Facilities, Housekeeping, Dining Services and Security.
4.Oversee external school wide admission communication and help to execute marketing strategies.
a.Send weekly admission schedule to administration, faculty, staff etc. - At A Glance.
b.Develop and create This Week at GA informational piece to be distributed on Student Visit Day and admission outreach events.
c.Develop and create Patriot Perspective monthly admission newsletter.
d.Update Admission Website as needed through the admission season.
e.Create and manage the New Family Portal in Veracross.
f.Support social media marketing initiatives.
5.Support Admission Marketing external communication plan.
a.Prepare handouts/published materials.
b.Coordinate all mailings - inquiry packets, acceptance packets, etc.
c.Develop admission external marketing communications in collaboration with Director.
d.Distribute communication emails per Admission Communication Plan.
6.Organize and maintain an inventory of office supplies, departmental marketing/outreach items, and confidential materials.
7.Serve as point person and administrator of admission standardized testing.
8.Support inter-departmental initiatives as needed.
9.Manage the calendar of the Director of Admission, Enrollment and Financial Aid.
10.Attend community events.
11.Other duties as assigned.

Skill Qualifications:
1.Must be accurate, detail oriented, and have excellent written and verbal communication skills
2.Must exercise sound judgment and discretion in communicating with the public and the school community fully honoring the confidentiality required in admission work.
3.Must be able to work independently, take initiative, and assume responsibility for all components of the position.
4.Must be able to multi-task, monitor deadlines and complete a variety of assignments on time.
5.Must possess strong interpersonal skills, have the ability to work as a team player, and have managerial experience.
6.Must have strong computer skills with knowledge of all Microsoft Office Suite programs.
7.1-3 years administrative experience. Experience in independent school/college admission preferred.
8.Must be able to lift up to 20 pounds.
9.BA/BS preferred.
