QUALIFICATIONS:
  • High School diploma or equivalent
  • 2+ years related post high school training is desirable but not required
  • Administrative assistant experience with progressively increasing responsibilities
  • Demonstrated competency in problem solving, communication, customer service, teamwork, project management, and technology applications
  • Experience with Frontline Education software highly preferred
  • Experience with educational technology applications such as USAS Redesign, EMIS, STARS etc. are desirable, but not required.
  • Proficient use of web-based technology applications
  • Strong problem-solving skills and attention to detail
  • Strong desire to serve and support customers and colleagues

JOB SUMMARY:
Performs administrative support work for the Center for Collaborative Solutions within a team based work environment.

ESSENTIAL FUNCTIONS:
Provide support to substitute employees regarding onboarding, employment processes, and Frontline ApplicationsProficient use of all Microsoft Office applications, with demonstrated expertise with Word, Excel, Access, PowerPoint, Outlook, and SharePoint.Manage messages, phone calls, schedules, and customer interactions.Process substitute requests for district preference changesPerform/Process Background Checks of substitute applicantsWork closely with Treasurer's office to invoice for Frontline ProductsManage and maintain accurate budgets (creating purchase orders, maintaining accurate balance sheets, and submitting invoices for payment)Support orientation, hiring events, sub appreciation and recognition efforts through organization, planning, and communication effortsCreate materials using technology such as copier, print shop, web-based registration systemsAssemble and distribute materials connected to board meetings and agendasGather and organize data for districts and organizational use related to substitutes, absence rates, and fill rates at district and building levelsAudit, assess needs, and update when appropriate organizational documents across Sub Solutions platforms (ie. Website)Assemble content for organizational newsletters and distribute to appropriate stakeholdersProvide quality service and support for internal and external customersBuild and maintain strong inter-personal relationships with customers and colleaguesPerform daily support functions such as drafting and/or finalizing correspondence, ordering materials, and staff supportProvide general administrative support to the Center for Collaborative Solutions Staff, Sub Managers, and Program ManagerProvide back-up support for other service areas as needed, as part of team-based support design including maintaining accurate employee information in databasesAssume other duties as assigned
