Position Title: Assistant to the Head of Upper School
Germantown Academy is an independent, coeducational, college preparatory day school located on a beautiful 126-acre campus in the Fort Washington suburbs near Philadelphia, Pennsylvania. The school serves more than 1,200 students in grades PK-12. Position Purpose: The Assistant to the Head of Upper School directly supports the administrative needs of the US Head and coordinates with and provides crucial support to the Dean of Faculty and Dean of Students regarding the daily operations of the Upper School and its constituents. Responsibilities include but are not limited to the scheduling of events, activities, meetings, and projects; overseeing facilities use; the organization of the US Office; and serving as a liaison to the other divisions, faculty, staff, and parents in an effective and timely manner.
Key Responsibilities:
1.Coordinate and/or assist with all projects, special activities, extra-curricular social opportunities, events, etc., the Upper School Office is responsible for.
2.Organize and maintain all administrative functions of the Upper School Office, including the organization of main reception space.
3.Maintain daily attendance records and act as point person during drills and emergencies.
4.Assist with promoting and coordinating US student activities on campus
5.Maintain official US records/files.
6.Organize communication of US needs to ensure faculty, staff, parent, student and administrative concerns are met.
7.Serve as primary contact person for all matters addressed to the US Office.
8.Process disciplinary letters with Head of US, Dean of Students, & Honor Council Coordinator.
9.Coordinate transportation requests.
10.Maintain all US calendars and coordinate facility needs for US events/meetings.
11.Provide general support to Head of Upper School by scheduling meetings with faculty members, students, parents, and administrators.
12.Manage the schedule for the Dean of Students and Dean of Faculty
13.Act as liaison between GA and photography companies and oversee photo contracts.
14.Coordinate and orchestrate all visits of Upper School candidates invited to campus to interview.
15.Assist with managing the division budget.
16.Process and approve faculty reimbursements through iSolved.
17.Process and approve US invoices through Paymerang.
18.Maintain and distribute ECA contracts schedule.
19.Process and maintain faculty personal time off usage record.
20.Set a positive tone when interacting with the students, parents, and faculty who enter the office.
21.All other duties as requested.

Qualifications:
1.Prior experience in an academic setting helpful
2.Good interpersonal skills and ability to collaborate with a team
3.Knowledge of MS Office and Google Suite
4.Self-starter
5.Detail oriented
