JOB TITLE: Preschool Secretary

REPORTS TO: Early Childhood Director.

SUPERVISES: Non-Applicable

EMPLOYMENT AND FLSA STATUS: Classified/Non-Exempt/Salary

JOB GOAL:
The job of the Preschool Secretary was established for the purpose/s of providing complex administrative and secretarial support to the Early Childhood Coordinator; overseeing the day to day Preschool office activities and providing administrative detail support to the Early Childhood Coordina; monitoring assigned activities; and providing information, recommendations and/or direction as may be requested by the Early Childhood Coordinator.

ESSENTIAL FUNCTIONS:
  • Perform administrative support tasks for the Early Childhood Coordinator.
  • Manage the calendars as assigned.
  • Coordinate the storage of all materials related to the preschool program.
  • Manage and maintain preschool special education student permanent files.
  • Assist in the preparation of grant proposals, reports, and/or any other paperwork as assigned.
  • Screen visitors using district security measures including the visitor management system.
  • Release students to appropriate adults.
  • Check-in late arriving students and direct/escort them to the appropriate location.
  • Greet, ascertain need, and direct visitors to various meetings, and/or staff.
  • Answer questions and provide information regarding school standards, policies, and procedures.
  • Maintain preschool student information in the student information system.
  • Prepare and disseminate materials for the Preschool.
  • Assist with preschool enrollment, registration, data collection, data entry, report preparation, and communication.
  • Follow the requirements and accepted procedures of the State Board of Accounts and district business office.
  • Process preschool payments and maintain accurate records of all payments received, including tuition and state voucher payments. Use the software program Brightwheel to maintain and organize payments.
  • Coordinate the various aspects of event planning for corporation events under the direction of the Early Childhood Director. This may include travel to off-site locations.
  • Execute proper office practices related to: confidentiality, courtesy, efficiency, corporation policies, and service to the public. This position requires discretion, warmth, approachability, and independent judgment.
  • Assist in the maintenance of student, staff, volunteer, and facility records and certifications to meet Paths to QUALITY and LLEP requirements.
  • Assists with preschool special education evaluation processes under the direction of the Early Childhood Director, including: maintaining records, scheduling, and processing cold calls.
  • Answer the phone for the Preschool program and direct calls, answer questions and field concerts with courtesy and professionalism.
  • Support building and corporation decisions, policies and procedures.
  • The employee shall remain free of any alcohol or nonprescribed controlled substance abuse in the workplace throughout his/her employment in the Corporation.
  • Perform other duties and assume other responsibilities as assigned by the Early Childhood Director.

KNOWLEDGE, SKILLS & ABILITIES
  • Ability to carry out instructions furnished in written or oral form.
  • Ability to add, subtract, multiply and divide, and perform arithmetic operations as needed.
  • Ability to understand, apply and use personal computers and software applications (e.g., Word).
  • Ability to work with a diverse group of individuals.
  • Ability to maintain confidentiality of information regarding students, employees and others.
  • Ability to establish and maintain cooperative working relationships with students, staff and others contacted in the course of work.
  • Ability to report work orally or in writing to supervisor as required.
  • Effective writing and verbal communication skills.

QUALIFICATIONS:
  • High School diploma or equivalent.
  • One year of general clerical experience is preferred.

PHYSICAL REQUIREMENTS:
  • Ability to stand for extended periods of time.
  • Ability to lift 25 lbs.
  • Ability to carry 25 lbs.
  • Ability to work at a desk, conference table or in meetings of various configurations.
  • Ability to see for the purpose of reading laws and codes, rules and policies and other printed material.
  • Ability to hear and understand speech at normal levels.
  • Ability to communicate so others will be able to clearly understand a normal conversation.
  • Ability to operate office equipment.
  • Ability to reach in all directions.

  • 210 days per year
