POSITION: Secretary - Head Start - Fairfield

STARTING DATE: As soon as possible

SALARY: $19.50 per hour

WORK YEAR: Full Time - 230 Days

GENERAL DESCRIPTION:

The Secretary will contribute to the efficient operation of the office in a manner consistent with the goals and objectives of the program.

QUALIFICATIONS:
  • Associate degree in Secretarial Science or Business Administration or a related area, or equivalent experience.
  • Excellent typing / keyboarding skills.
  • Excellent organizational skills.
  • Willingness / ability to work as a team member.
  • Computer expertise.
  • History of good job attendance.
  • Must pass criminal background checks; drug and alcohol testing; and be free from communicable diseases.

ESSENTIAL FUNCTIONS:
  • To respond to clerical requests of supervisors.
  • To answer multi-line telephone and assist callers as appropriate.
  • To coordinate/cooperate with others to assure the smooth operation of the office and its activities.
  • To respond to requests for information and assistance.
  • To operate and maintain office machines and equipment appropriate to the position.
  • To use computers and other office machines to accurately input, retrieve, and manipulate data to generate and transmit reports and correspondence.
  • To prepare and disseminate routine correspondence.
  • To confer with supervisors regarding progress, concerns, and recommendations.
  • To create purchase requisitions.
  • To maintain records and files as required.
  • To coordinate/relay oral, written, and electronic messages.
  • To welcome visitors and assist them expeditiously.
  • To report the presence of unauthorized or atypical visitors.
  • To plan and organize own work to meet priorities.
  • To meet deadlines (daily, weekly, monthly, quarterly, and yearly).
  • To maintain confidentiality in district matters.
  • To comply with state and federal regulations that pertain to the position (e.g. OSHA, OCR).
  • To plan and organize work so that priority is given to those tasks that need to be completed by a specific date.
  • To continuously update and improve professional competence.
  • To perform other tasks, consistent with the position, as may be assigned.
  • To assist with basic accounting procedures such as: handling of invoices, purchase orders, etc.
  • To place orders for supplies.
  • To assist with the hiring process.
