Job Description POSITION TITLE:
School Secretary/Bookkeeper at Merrywood Elementary School (2026-2027 School Year) Reports To: Principal
ESSENTIAL DUTIES AND RESPONSIBILITIES. Other duties may be assigned.
- Maintain a daily record of all support staff and faculty absences.
- Maintain sign in/out books for support staff and faculty.
- Keeps General Account ledger.
- Reconciles monthly bank statements/processes EOM reports for the activity accounts.
- Deposits funds daily.
- Ensures accuracy of teacher receipt books.
- Orders supplies as needed.
- Receives, documents, deposits, disburses and accounts for all funds flowing through the student activity fund accounts, except as otherwise directed by the principal.
- Keeps records and files reports of all aides, teachers, and substitute teachers.
- Assist with fire drills and with filing the monthly fire drill report.
- Prepares weekly payroll reports.
- Opens and distributes daily mail.
- Collect and verify teacher receipts.
- Responsible for maintenance and technology help requests.
- Verifies sign in and sign out report against AESOP or leave forms.
- Collect, Record, Receipt and Deposit C2 funds as applicable.
- P-card purchases, prepare monthly statements for supervisory approval.
- Answers the telephone.
- Submit travel reimbursements.
- Obtains documentation for all fundraisers and field trips.
- Works with PTO board members as needed.
- Greets the public.
- Assists with principal's and school's mail.
- Types all schedules, etc.
- Assists with requisitions for supplies.
- Enrolls new students.
- Attends to sick or hurt children in the absence of the school nurse and recommends dismissal of children as necessary.
- Fills out and mails duplicated permanent records.
- Assists the principal in carrying out duties customary to the administrative office.
- Complete Worker's Compensation reports in absence of the school nurse.
SUPERVISORY RESPONSIBILITIES:Supervises students as needed.
QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE:High School Diploma or GED. Must be able to effectively deal with the public and staff both in person and on the phone. Must be able to handle large sums of money and manage school accounts.
LANGUAGE SKILLS:Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to effectively present information and respond to questions from groups of administrators, managers, employee's, clients, customers and/or the general public.
MATHEMATICAL SKILLS:Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals. Strong bookkeeping skills are required.
REASONING ABILITY:Ability to define problems, collect data, establish facts, and draw valid conclusions.
OTHER SKILLS and ABILITIES:Ability to develop effective working relationships with staff, parents and students. Ability to communicate clearly and concisely. Ability to perform duties with awareness of all district requirements and the Board of Education policies.
WORK SCHEDULE: 240 days/ 7.5 hours per day
SALARY: Grade 14 of the Clerical Salary Schedule
