Job Description POSITION: Special Education Secretary 260 Day Contract
POSITION SUMMARY: The Special Education Secretary provides confidential administrative and clerical support to the
Special Education Department. This position plays a critical role in ensuring compliance with
federal and state regulations, maintaining accurate student records, and supporting the delivery of services for students with disabilities.
QUALIFICATIONS: High School Diploma; Associate or Bachelor Degree preferred
Minimum of 2-3 years clerical, school based or administrative experience (school setting)
Proficiency in Microsoft Office (Word, Excel, Outlook)
Proficiency in Google Applications
Experience with Student Information Systems (e.g. DASL, Progress Book, Same Goal)
Demonstrated ability to maintain confidentially and manage detailed records
Maintain professional appearance and neat office environment
Positive attitude working with students, parents and staff members
All other duties as assigned by administration
REQUIRED KNOWLEDGE:Working knowledge of Individuals with Disabilities Education Act (IDEA)
Familiar with Ohio Operating Standards for the Education of Children with Disabilities
Understanding of IEPs, Evaluation Team Reports (ETRs) and Special Education timelines
Knowledge of FERPA and student confidentiality requirements
ESSENTIAL JOB FUNCTIONS:Schedule and coordinate IEP meetings, evaluations and re-evaluations in compliance with required timelines
Prepare and distribute required notices, invitations and procedural safeguards
Maintain accurate and confidential special education records (electronic and paper)
Track compliance timelines for IEPs, ETRs and related documentation
Assist with EMIS reporting and date entry for special education
Support Medicaid billing documentation as applicable
Assist in open enrollment required items
Serve as a point of contact for parents, staff and service providers
Prepare correspondence, reports and departmental documents
Provide general clerical support to the Special Education Department
