Position Summary

The Payroll Secretary is responsible for the accurate and timely processing of payroll for the district. This position manages payroll data, ensures compliance with federal, state, and local regulations, and serves as a liaison between departments, employees, and external agencies regarding payroll-related matters.

Key Responsibilities
  • Process and produce assigned payrolls accurately and on schedule, ensuring quality control of submitted data.
  • Manage high-volume payroll transactions, including deductions such as taxes, insurance, garnishments, retirement contributions, and other withholdings.
  • Maintain accurate employee records, including sick leave, vacation, and personal leave balances.
  • Prepare and submit required state personnel reports and maintain supporting documentation.
  • Reconcile payroll records and ensure alignment with state salary schedules; communicate discrepancies with appropriate agencies.
  • Prepare, balance, and distribute W-2s and 1099s.
  • Coordinate payroll distribution to schools and departments.
  • Complete salary-related documentation for retirement and employment verification requests.
  • Generate statistical and financial reports for federal, state, and local agencies.
  • Serve as liaison between payroll, data processing, and district staff.
  • Provide support and training to school secretaries and office personnel on payroll procedures.
  • Respond to employee inquiries regarding payroll, benefits, and deductions.
  • Participate in meetings related to payroll procedures, updates, and compliance.
  • Perform additional duties as assigned by the Director of Accounting or Superintendent.
Qualifications

Education & Experience:
  • High school diploma required
  • Minimum of two (2) years of payroll experience
  • Experience with data processing systems preferred
Knowledge, Skills, and Abilities:
  • Knowledge of payroll laws and regulations at the local, state, and federal levels
  • Understanding of bookkeeping and payroll processing systems
  • Strong organizational and analytical skills
  • Ability to interpret and report financial data accurately
  • Effective communication and customer service skills
  • Ability to manage multiple tasks in a fast-paced environment
Work Environment

This position operates in an office setting and requires frequent interaction with district staff, school personnel, and external agencies.
