Exeter School District's Exeter Developmental Preschool, Main Street and Lincoln Street Schools seek a highly organized, detail-oriented team member to join our special education staff as an Administrative Assistant.
YEAR ROUND POSITION

Summary of Position:

Candidate must be able to work efficiently, interact with parents, employees and staff on a consistent professional level, and have the proven ability to maintain confidentiality. The candidate also works with vendors, completes purchase orders, manages invoices and assists the Director with budget and grant preparations and management. The candidate must have the ability to meet deadlines with accuracy and manage multiple projects at once.

Responsibilities:
  • Prepare materials for State Special Education reports.
  • Maintain confidentiality of all Special Education student information and records.
  • Ensure Special Education compliance per Department of Education standards.
  • Create new file folders for incoming Special Education students.
  • Keep files in chronological order and ensure that all documents are in each folder.
  • Support case managers at each school in the Exeter School District by filing documents.
  • Make sure that files go to the next school if a student is moving up from elementary, middle or graduating from high school.
  • Assist with Medicaid to Schools (MtS) billing.
  • Manage data in NHSEIS (Special Ed Information System):
    • Add/remove students for all schools in the district. This involves assigning the school district, the specific school and case manager and entering accurate student and contact information.
    • Reference the general student information system (currently Alma) for accuracy of current demographic information.
    • Advance student grade levels each year.
    • Approve or request electronic records transfers with other NH school districts.
Qualifications:
  • Proficient in computer skills and business correspondence editing.
  • Excellent verbal and written skills.
  • Excellent organizational and multi-tasking skills and ability to work not only as a member of a team, but also to work independently.
  • Working knowledge of Google Suite, New Hampshire Special Education Information System(NHSEIS), financial systems and Medicaid to Schools billing is preferred.
  • A high school diploma or equivalent is required.
  • Previous administrative assistant experience preferred.
