Worcester Cultural Academy Charter Public School is seeking a warm, organized, and community-minded School Office Coordinator to be the operational heartbeat of our school. This is a highly visible role - you're often the first face families and visitors see, the voice that answers the phone, and the steady hand that keeps daily school operations running smoothly. We are looking for someone who brings genuine care for students and families, strong administrative skills, and a natural ability to build relationships across a diverse and dynamic school community. Who We Are
Worcester Cultural Academy (WCA) is a growing charter public school that opened in August 2023 with a vision of becoming a K-8 community. We launched as a K-4 school and have added a grade every year since - this fall we welcome our first 7th graders. As an EL (Expeditionary Learning) Education school, we believe in hands-on learning that challenges students to grow in three dimensions: mastery of knowledge and skills, character, and high-quality work. We partner with organizations like the EcoTarium, Worcester Art Museum, and Hanover Theater, and anchor our curriculum in Learning Expeditions that make learning meaningful and real.

What You'll Do
Front Office and Family-Facing Operations
Serve as the first point of contact for students, families, staff, and visitors - setting a welcoming, organized tone from the moment someone walks through the door or picks up the phone
Answer calls, respond to texts and emails, and communicate proactively with families, community organizations, and the general public
Welcome and orient new staff, families, and students to the school community
Support school events, special projects, and school leader initiatives as needed
Student and Staff Records
Input and maintain accurate information in the student information system, including student records, class lists, and electronic files
Record student and staff attendance daily, contacting families to verify absences as needed
Collect and process state-required CORI forms for staff, families, and volunteers
Assist with recordkeeping and state-mandated reporting requirements
Operations and Administration
Process purchase orders, invoices, and reimbursement requests accurately and on time
Order and manage office and instructional supplies
Schedule meetings and events for school leaders
Maintain internal and external electronic distribution lists
Collect and organize funds for deposit by the parent organization
Learn, interpret, and apply school rules, regulations, policies, and procedures - and help others understand them
Perform other job-related duties as assigned by the school leader or their designee

What You Bring
High school diploma or G.E.D. and at least two years of relevant experience, education, and/or training
Experience working in schools and/or with diverse communities, including experience supporting English Language Learners and students with IEPs
Demonstrated respect for families from a wide range of backgrounds, with a genuine customer service mindset
Strong organizational, verbal, written, and time management skills - with conscientious attention to detail
Excellent computer skills, including Microsoft Word, PowerPoint, and Excel; Google Drive, Docs, Forms, and Sheets
Fluency in administrative and clerical procedures: data entry, electronic communication, file management, standard office equipment, and school office terminology
Experience with student information systems and DESE state-mandated reporting preferred
A team player with strong interpersonal skills and the ability to build positive, collaborative relationships with staff, students, families, and the public
Flexibility, a strong work ethic, integrity, and the ability to maintain confidentiality
Bilingual (English/Portuguese or English/Spanish) and bicultural candidates strongly preferred

Position Details
Job Type: Full-Time
Salary: $50,000-$55,000, commensurate with experience
Schedule: Monday-Friday, 7:30AM-4:00PM
Work Location: In person
