Administrative Assistant - Community Programs

Position Summary

The Administrative Assistant supports and reports to the Director of Community Programs and assists with the organization and administration of district Community Programs. The position requires strong organizational skills, attention to detail, flexibility, the ability to manage multiple priorities and a positive, service-oriented approach when working with families, staff and community members.

Community Programs

The Community Programs department oversees a variety of programs and activities, including:
  • Before and After School Day Care Programs
  • Excel Enrichment Programs
  • Summer Sports Clinics and Leagues
  • Food Services coordination and student eligibility
  • Adult Education

Key Responsibilities
  • Coordinate biweekly payroll for Community Programs staff.
  • Prepare and submit monthly revenue reports to the Supervisor of Accounts.
  • Reconcile and post program deposits.
  • Assist families with the online registration process and account questions.
  • Process refunds and resolve registration or account issues.
  • Maintain accurate student registrations, class rosters and related records.
  • Purchase program supplies and materials as needed.
  • Provide administrative support to site coordinators and program staff.
  • Assist with the day-to-day administration of Community Programs.
  • Perform other duties as assigned by the Director of Community Programs.

Qualifications
  • Strong organizational, communication and customer service skills.
  • Ability to manage multiple responsibilities and meet deadlines.
  • Working knowledge of Microsoft Office and Google Workspace.
  • Working knowledge of MUNIS and PowerSchool preferred.
  • Experience working with families, students or school-based programs preferred.

Work Schedule

12-month position
35 hours per week
8:30am - 4:30pm, Monday - Friday with a one-hour lunch
